Spire Bristol Hospital are looking for a driven and motivated individual to provide an efficient administrative service within the Bookings Department, working within established policies and processes. To ensure an exemplary level of customer service is upheld in the provision of service to patients, consultants and the hospital team.

Duties and responsibilities
1. Managing the reservation process, to ensure outpatient appointments and utilisation are maximised.
2. Inputting outpatient appointments computer system, ensuring that the data retained on the system is accurate, complete and timely.
3. Preparing and distributing patient administration documentation and correspondence.
4. Support and compliance of standardised department process and procedures.
5. Maintain and update patient records on SAP (the hospital computer system).
6. Face to face liaison with patients and consultants providing information where requested and making appointments.
7. Building clinics on our booking system for consultants/GP’s and various departments around the hospital.
8. Mailbox cover – monitor our mailbox daily for enquires such as ad-hoc clinic build, secretary queries, consultant queries, add bookings/make appointment amendments etc.
9. Receive bookings and liaise with internal departments via the telephone/email.
10. Collect credit card details both over the telephone.
11. Handle routine enquires.
12. Developing and maintaining relationships with both private and NHS medical secretaries, GPs, Consultants, patients and patients families and all departments within the hospital, responding to enquiries appropriately.
13. Ensuring the confidentiality regarding information and disclosures of information relating to patients and users of the hospital in accordance with the Data Protection Act 1984.
14. Promoting the effective lines of communication throughout the working environment.

15. A good standard of education
16. Experience in people management, customer care, recruitment, and performance management and cost management
17. Knowledge and confidence of information technology
18. Experience in a customer facing environment
19. The ability to work in a team and also working independently
20. Preferred - experience of a similar role in a hospital environment
21. Excellent time management
22. Flexible approach to undertake a wide range of duties
23. Handling and respecting confidential information
24. Empathy for the impact of their role on vulnerable and sick patients
