We are excited to announce that we have a brand-new position at Ribble Vets. We are looking for a proactive, enthusiastic, and highly motivated individual to join our friendly team as an Admin Assistant to the Practice Manager.
The Admin Assistant will support the Practice Manager with day-to-day activities within the Veterinary Hospital environment, helping to ensure smooth running of services. The position is office based at the Penwortham Veterinary Hospital.
Hours of work will be around 20 hours per week ideally over 4 or 5 days, but this can be flexible due to the post being newly created. Shift patterns will be agreed with the successful candidate. As this is a new position it is likely that the role will evolve and an increase in hours and responsibilities may be available in the future.
Main duties of the job:
* To support the Practice Manager in the day‑to‑day operations of the practice.
* Have a thorough understanding of practice policies and procedures and support the Practice Manager in reviewing and updating these policies and procedures.
* Preparation of Human Resources documentation to assist with the recruitment and onboarding of new employees and annual appraisal paperwork for existing employees.
* Maintaining personnel files and ensuring that all necessary documentation is kept up to date.
* Assisting the Practice Manager with health and safety compliance, including building, facilities, equipment, and risk assessments.
* Conducting regular internal Health & Safety checks, including fire safety and recording of accidents.
* Liaising with contractors for maintenance, health and safety and infection control requirements.
* Completing regular internal audits and reviews, as directed by the management team.
* Producing product and service reports from the Practice Management System as directed by the management team.
* Minute taking during team meetings and note taking during appraisals as directed by the management team. Short hand skills would be an advantage.

Confidence in managing their responsibilities independently and as part of a team is essential. * Proficient in Microsoft Office with short hand skills be advantageous.
* The ability to communicate effectively with others and to follow instructions.
* Happy, friendly and approachable individual able to work individually and as part of our large team.
* Experience in a primary care, NHS, veterinary practice or similar regulated setting.
* Experience of working in a busy public environment.
* Dealing with public/patients.
