Applications are invited from enthusiastic and motivated individuals for this post based in the Medical Physics Department within the Healthcare Technology Group at Dorset County Hospital NHS Foundation Trust (DCHFT).

No specific qualifications are required for this role as appropriate in-house training will be provided as necessary, however the post-holder will preferably have some experience in administrative support to a Healthcare Science Department, and of managing databases.


Main duties of the job

The successful applicant will provide day to day management support to the Medical Physics Department, by (amongst other things):

* Supporting the Medical Physics team in scheduling routine QC and audit work.
* Arranging transport etc (e.g. pool cars) as necessary for work carried out off-site.
* Providing administrative support for the personal Dosimetry Service.
* Carrying out monthly and annual Health and Safety audit checklists for the Department.
* Supporting the Head of Department in the upkeep of Departmental space, fixtures and fittings.
* Assisting in the Procurement and requisitions process as well as supporting the Head of Department in updating Health Roster and ESR.

The post-holder will support the Lead Healthcare Scientist to make the most of external funding and other opportunities to develop staffing and other resources in order to better support the services delivered to patients.

You will:

* Be able to prioritise your own workload and work unsupervised.
* Have good communication skills (including telephone) to ensure effective working relationships, both inside and outside the Trust.

You have:

* Experience of working in a team
* Experience of a customer-facing, technical role and/or senior secretarial / administrative position providing service/project/programme support.
* Good basic education and computer skills, including experience of databases.

Education/Qualifications & Training


Essential criteria

* General Education to GCSE Level
* NVQ Level 3 in relevant subject (e.g. business administration) or equivalent


Desirable criteria

* European Computer Driving Licence (ECDL) or equivalence


Knowledge and Experience


Essential criteria

* Experience in a senior secretarial or administrative position providing service/project/programme support
* Experience of working with databases, asset management systems or computer systems in a commercial or healthcare environment.


Desirable criteria

* Experience of a customer-facing or service/technical support role.
* Experience working within a team and with staff at all levels.


Skills and Abilities


Essential criteria

* Excellent communication skills both written and verbal
* Excellent organisational skills
* Intermediate to advanced IT skills, with an ability to navigate around various systems and software packages e.g. Microsoft software, the internet and databases
* Ability to prioritise own workload, work to tight timescales, respond quickly/flexibly and deal with interruptions to meet deadlines.
* Accuracy with numbers to record statistics and format information.

* Confident nature with a proactive and constructive approach
* Ability to use initiative and work as part of a team
* Ability to work without direct supervision within broad procedural guidelines.
* Ability to develop systems to promote efficient and effective working within the team
