About you
As a Dental Receptionist and sales co-ordinator at LPID, your role is to handle primarily new patient inquiries, guide bookings for consultations, and achieve set profitability and productivity targets whilst ensuring practice policies are followed. You'll ensure a seamless patient experience, employing various communication methods.
You will provide comprehensive reception service to the practice, answer the telephone and deal with all enquiries and appropriately, communicate effectively with all personnel and effectively scheduling patient to ensure best use of the diary.
Key Tasks
Lead Conversion and Booking
* Respond promptly to inquiries from various avenues including calls, emails, CRM.
* Record accurate records of the conversations
* Take payments (holding deposits)
* Understand how to communicate prices and objections
* Use strong communication skills to address enquiries effectively and take bookings.
* Meeting Targets:
* Own and surpass booking targets consistently.
* Utilize CRM tools for accurate lead tracking and management
* Employ innovative strategies for improved lead conversion.
* Patient Experience:
* Create a positive and welcoming experience.
* Provide exceptional customer service, addressing concerns and questions whilst ensuring the face-to-face booking is made.
* Align with practice values for patient-centric care.
Reception duties
* Provide full and comprehensive reception duties dealing with general and complex enquiries, arranging dental appointments and providing information asked by the patients and general public, either by telephone, by email or face to face.
* To answer the telephone, exercising initiative when required to respond to general enquiries and/or record/pass on messages as appropriate accurately, legibly and swiftly. This also includes registered and unregistered patients seeking immediate dental care.
* Receive, collate, process, and distribute all incoming mail.
* To establish and maintain appropriate filling system. Ensuring all paperwork is prepared for the clinical session (consent and medical history forms), that laboratory work is available before the working day.
* Creating patient records accurately, ensuring no duplication, by checking dates of birth, etc. Archiving records that are duplicates, patients left the area or deceased. Ensuring all medical histories are updated to ensure all patient personal details are accurate. Scanning incoming relevant documents and documenting any communication with the patient.
* Checking all patients' financial records are correct and up to date for audits purposes.
* Maintaining stationary supplies, to provide an adequate supply of stock for all staff ensuring dispatch to correct location.
* To review and implement any new administrative process
* To undertake all general office duties
* Attend sessions where appropriate for training. Seek opportunities to develop skills and understanding that will enhance own performance in the role
* Be proactive with recalls and keeping the diary optimised
* Assist with the compiling of reports and records on practice performance
* Adhere to the recall system policy to ensure the maximisation of diary management
* Ensure reception area is always clean and tidy
* Adhere to all practice policies and procedures
* Meet and greet patients with a polite, courteous, and professional friendly manner always
* Answer telephone calls and queries bookings, changing or cancelling appointments as necessary
* Ensure that reception runs smoothly
* Book appropriate appointments for patients and highlight any issues to the practice manager
* Keep a record of daily taking, as well as update patients finance records on the computer system
* Cash up after the morning and afternoon sessions daily, and check that it coincides with the daily takings, record and file as necessary. Provide receipts for monies
* Ensure medical histories are updated and signed
* Make courtesy calls if the patients are late for their appointments
* Complete necessary daily checklist
* Ensure that the practice email is monitored, and emails dealt with appropriately
* Ensure software emails and texts are going out and highlight any problems to the manager
* Ensure lab work is checked and the lab file under the desk is updated.

* Salary: From £28,000 per annum (depending on experience and scope)
* Monday to Friday, 8-hour shifts
