Overview
Doncaster Adult Mental Health & Learning Disabilities Care Group is looking for an experienced, highly motivated Personal Assistant to support their Senior Leadership Support Team. The successful applicant will provide a comprehensive and highly confidential personal assistant service to the Senior Leadership Team.
Responsibilities
* Manage extremely busy and conflicting diaries; monitor, respond to and escalate emails as appropriate.
* Produce excellent written minutes; proactively respond to ESR and performance reports.
* Support delivery of high-quality identified projects and specified business functions.
* Be flexible and proactive, adapting to the varying demands and circumstances of a busy Senior Leadership Team.
* Plan and organise workloads to meet diverse and competing priorities; create and maintain effective working relationships at all levels, internally and externally, with enhanced written and verbal communication skills.
* Provide a comprehensive administrative/secretarial service to the Care Group Senior Management Triumvirate, prioritising workload and forward planning.
* Produce confidential correspondence, reports, presentations, minutes and agendas using Microsoft Word, Excel and PowerPoint; create databases and spreadsheets as required; ensure timely copying and distribution of documentation.
* Oversee receipt and recording of incoming correspondence and emails, identify urgent matters, draft responses, and action routine mail; distribute information to managers and departments as appropriate.
* Arrange, attend and minute both formal and informal meetings as requested by the Care Group Senior Management Triumvirate.
* Maintain and develop department filing, archiving and records systems; devise procedures to cover administration processes; manage the department’s reminder system.
* Use information systems to monitor mandatory and statutory training requirements and record staff absences.
* Act as first point of contact for the Care Group Senior Management Triumvirate; assess appropriate referrals/actions in the absence of senior colleagues.

Person Specification
Qualifications (Essential)
* 5 GCSEs including English or equivalent, with emphasis on numeracy and literacy
* NVQ 3 in Business Administration or equivalent
Experience (Essential)
* Experience of working in a busy office and managing a diverse workload
* Knowledge and experience of using Microsoft Office applications
* Experience of managing teams
* 2 years administrative experience within the NHS or other complex organisation
* Experience of working to and meeting deadlines
Knowledge (Essential)
* Thorough understanding of confidentiality and information security
