We invite applications for the Facilities Manager position, for the UK, Ireland and Netherlands.
PRINCIPAL RESPONSIBILITIES:
1. Planning and coordinating of all construction or remodelling types of projects in all facilities in the UK, Ireland and Netherlands. This includes coordination with Owner, Architect and General Contractor.
2. Oversight of the preventative maintenance, coordinating repairs, contractors and subcontractors ensuring that statutory testing and maintenance is undertaken and that all necessary certification and records are maintained on site.
3. Strategic overview of the portfolio and preparing formal commissions and technical briefs to manage complex programmes of work and projects, taking into account the impact on building occupants, staff and visitors and to minimise disruption to key areas of service delivery.
4. Negotiate, terminate and reviews lease documents for new facilities as well as expansions. Serve as liaison with property owners and/or management companies on facilities.
5. Review and manage monthly/annual lease and rates Schedules.
6. Track project budgets and related invoices for construction projects.
7. Inspections construction and installation progress for compliance with CDM regulations and to ensure quality of work.
8. Order, maintain and use capital equipment effectively.
9. Developing and managing the facility budget, tracking expenses, and seeking cost-effective solutions.
10. Position may require up to 50% travel.
11. Immediately respond and appropriately resolve urgent issues or emergency situations as they arise
12. Ensure that staff and contractors have satisfactorily completed work or projects, and follow-up on any deficiencies
13. Promote the Company safety culture at all times ensuring the safety and well-being of all stakeholders within the Company
14. Supervising and managing facilities coordinators, including hiring, training, and performance evaluation. .
15. Perform other duties as assigned or required
16. Capturing energy usage for all locations seeking to improve efficiency
17. Responsible for building and grounds maintenance, ensuring all facilities, including all equipment in the facilities, are maintained in operating condition to meet codes and standards.
18. Conducting routine safety inspections, across the UK, NL and IRL addressing safety concerns, and ensuring the building is safe and functional for occupants.
19. Work with Legal to negotiate, maintain and track facility and site leases
20. Look to identify and implement synergies (where possible) for all locations to ensure the most cost-effective solutions are implemented and actively reviewed to ensure we remain competitive.
21. Standardise costs and vendors across all locations with regular contract review dates. Develop and implement strategic plans for projects in a cost-effective and time-efficient manner.
22. Ensure fiscally responsible project management in relation to facility management
23. Ensure that company owned vehicles are DVLA compliant and maintained in a safe operating condition
24. Maintain records of company leased vehicles reviewing leasing costs and negotiate rates
25. Oversee space management, optimising layouts and address space needs
26. Work with all applicable agencies, with regards to regulations, codes and standards
27. Tender preparations for service contractors
28. Liaising with contractors, negotiating contracts, and ensuring quality of work.
29. Schedule any necessary employee or vendor work in ways that result in minimal impact on operations
30. Responsible for directing, coordinating and planning essential central services such as security, maintenance, waste disposal and recycling
31. Project managing all aspects of major schemes and liaise with occupying departments to ensure the smooth implementation of works and minimise any disruption to service delivery
32. Acting as “Duty Holder” for Asbestos, “Client” in respect to CDM and the responsible person in respect to water safety.
33. Initiates, reviews and maintain a system of performance indicators for facilities services, monitors and compares performance across the regions
34. Developing and managing the facility budget, tracking expenses, and seeking cost-effective solutions.
35. Supervising and managing facilities coordinators, including hiring, training, and performance evaluation.
36. Position requires up to 50% travel.
Qualifications
37. BSc/BA in facility management, engineering, business administration or relevant field and/or equivalent experience
38. An Institute of Workplace and Facilities Management (IWFMA) qualification at level 4 and above would be advantageous.
Experience
39. Proven hands on experience as facilities manager or relevant position
40. Well-versed in technical/engineering operations and facilities management best practices
41. Experience of multi- site/Country operations would be desirable.
42. Experience in developing, documenting and implementing clear procedures.
43. Knowledge of purchasing and procurement is essential
44. Management of P and L is essential
