About the Role
We are seeking a highly organised and proactive Executive Assistant to support the Chief Executive and Board Directors of a privately-owned holding company establishing new offices in Birmingham. The holding company owns manufacturing businesses in the Midlands and North West.
This is a pivotal role offering variety, responsibility and the opportunity to work at the heart of a successful private business with a varied portfolio of investments.
Reporting Line
Reports directly to the Chief Executive of the Holding Company
Key Responsibilities
* Provide comprehensive administrative and organisational support to the Chief Executive & Board Directors
* Manage diaries, appointments and travel arrangements
* Prepare, edit and format documents, presentations and reports using Mac OS, Pages, Numbers, and Keynote (training provided)
* Coordinate meetings, including agenda preparation, ensuring follow-up actions are completed
* Oversee email and correspondence management, ensuring timely responses and prioritisation
* Liaise professionally with internal teams and external stakeholders at all levels
* Maintain confidentiality and discretion at all times
* Support ad hoc projects and business initiatives as directed by the Chief Executive
* Ensure the effective running of the Chief Executives office, anticipating needs and proactively resolving issues
* Line management responsibility for a Driver-Fleet Manager, ensuring efficient scheduling, vehicle management and high standards of service
Key Requirements
* Proven experience as a Personal Assistant, Executive Assistant or similar role supporting senior directors
* High level of IT skills, specifically with Mac OS, Pages, Numbers, Keynote and Apple Calendar or willingness and ability to learn and pick up quickly
* Understanding the world of business or investment management developed in private equity, venture capital, legal or other high-level business service environment
* Outstanding organisational and time management abilities, with meticulous attention to detail
* Excellent written and verbal communication skills, with high level of English grammar
* Ability to work independently, exercise initiative and adapt to changing priorities at short notice
* Willingness and ability to travel to other locations (London, Midlands and North West)
* Professionalism, discretion and a proactive approach
Desirable
* Foreign languages & cultural awareness (French, German, Spanish, Italian or Portuguese)
* Familiarity with London and international air travel
