Job role: International Operations Advisor

At Ethypharm, we're looking for an International Operations Advisor to support our international distribution and CDMO customer operations. This is a primarily office-based, administration and coordination role-focused on SAP order processing, export documentation, licence tracking, and customer communication-working closely with the warehouse and freight forwarders to ensure compliant, on-time deliveries across multiple territories.
Purpose of the role
Reporting to the Head of International Operations, you will provide day-to-day operational support to the international business. You'll manage the administration and processing of customer orders and exports end-to-end, ensuring accuracy, compliance (GDP/GMP/HMRC), and a high standard of customer service.
Day-to-day responsibilities
* Process customer Purchase Orders (POs) accurately and on time in SAP, completing assigned SAP tasks promptly to maintain workflow efficiency.
* Maintain accurate order books, deferred revenue records, and export licence tracking logs.
* Prepare, check and file export documentation and shipment records to ensure audit readiness.
* Coordinate with the Warehouse to confirm goods are available and ready for dispatch.
* Work with freight forwarders to arrange compliant shipments, ensuring correct labelling, temperature management and documentation.
* Arrange shipments in line with INCOTERMS, export documentation, and licence requirements.
* Apply for export permits with the UK Home Office where required.
* Handle customer queries, complaints and pricing requests efficiently; log and track complaints and support QA investigations (e.g., IPNs, CAPAs, vendor complaints).
* Liaise with Finance to resolve invoicing and payment issues and prepare/present Letters of Credit where required.
Essential experience & qualifications
* Educated to A Level (or equivalent); literate and numerate.
* Minimum 1 year's experience managing customer accounts and/or order administration.
* Strong attention to detail and confidence managing multiple tasks accurately.
* IT literate, proficient in Microsoft Office.
* Understanding of distribution/logistics processes, order processing and customer account management.
* Awareness of customs processes, freight forwarding and compliance expectations (GDP/GMP/HMRC or similar regulated environment).
Desirable
* Experience in logistics/supply chain and/or the pharmaceutical industry.
* SAP (or equivalent ERP) experience.
* Familiarity with export documentation and/or international finance (e.g., Letters of Credit).
* Additional languages.
