Job Title: Facilities Assistant
Salary: £13,.04
Contract Type: Permanent
Type of Employment: Part Time
Total weekly contractual Hours: 20
Location: DVSA, Granby Avenue, Garretts Green, Birmingham, West Midlands, England B33 0SD

Position Overview

The purpose of this role is to provide operational management of the DVSA Garretts Green reporting to the Compliance Manager on the Department of Transport (DfT) facilities management contract.

Candidates will be required to meet security checks in order to work on the client premises.

Responsibilities

1. Man the front desk ensuring all security protocols are managed and adhered too.. Prepare and issue visitor passes. Advise relevant staff that visitors have arrived. Ensure all visitors sign in and out
2. Ensure all activities are carried out in accordance with all statutory requirements and corporate policies including, but not limited to, Health and Safety, Quality Assurance, Environment & Sustainability and Employment Legislation.
3. To embed a zero accidents culture of Health and Safety within the contract
4. Liaise and communicate with client business unit representatives on all areas of service delivery, performance improvement and service development.
5. To work with all Interserve businesses and Third Party suppliers to provide an integrated and seamless service delivery model to the Client and its stakeholders
6. Liaison with the specialist function teams outside the account to ensure full capture of best practise
7. Support the Facilities team during evacuations
8. Ensure that the entrance area is clean and tidy
9. Visitor management at the complex, issue of building passes and ensuring the complex is secure including CCTV monitoring
10. Ensure that the Garretts Green complex remains H&S compliant including H&S inspections, conducting proactive checks and undertaking investigations.
11. Manage FM issues raised by staff and visitors. Raise Work Orders with FM provider ensure faults are reported and progressed. Act as escalation point for all issues at this complex.
12. Regular meetings with other managers at the complex
13. Undertake risk assessments, analysing waste usage and monitoring energy efficiency.
14. Manage email box and respond to queries and requests in a timely fashion.
15. Manage meeting room booking system for Garretts Green.
16. Liaise with TFM colleagues on additions and deletions of FM services for Garretts Green.
17. Liaise with Line manager on security issues.
18. Act as Incident Controller for Garretts Green. Arrange regular fire drills and training for fire wardens and marshalls.
19. Act as First Aider for the site.


What we are looking for

Qualifications, Experience & Knowledge

Essential:

20. Experience of FM services on a large Corporate office environment
21. Excellent people communication skills; ability to manage and develop positive relationships with both on site staff and visitors to the site
22. Good working knowledge of H&S related to TFM services.
23. Ability to remain calm when under pressure

Desirable:

24. SIA licence or willingness to train as monitoring CCTV is part of the role
25. First Aid
26. IOSH managing safely or equivalent in FM
27. Manual Handling

28. A team player but able to work under own initiative and able to escalate matters out of own limitations
29. Ability to organise and prioritise workload for multiple resources and functional areas
30. Strong communications skills, both written and verbal
31. A strong customer centric approach
32. Ability to coach colleagues and staff through the contractual processes, interact with people at all levels and proactively build professional creditability and relationships.
33. Good communicator at all levels and have the ability to present their case competently ensuing all understand what is being delivered.
34. Ability to make decisions based on key evidence and information
