Assistant Administrator – University of Plymouth Faculty of Health
An exciting opportunity has arisen to join the University of Plymouth Faculty of Health as an Assistant Administrator.
About the role
The Faculty of Health Assessments Team is dynamic, fast paced, and energetic. Combining events planning with data analysis, the team organise and support the delivery of a range of assessments for the medical and dental schools. Assessments range in size from 30–40 students to around 150 and are delivered in a variety of ways, from online invigilated examinations to ISCE and USPSE assessments, which require students to demonstrate clinical competencies in a simulated environment. Flexibility and adaptability are important to assist with exam delivery, which can occasionally fall outside of typical working hours. The medical and dental schools offer a supportive and collaborative workplace, where innovative ideas are encouraged and opinions of all are respected and listened to.
This is a part‑time position working 14.8 hours per week on a fixed‑term basis until 31 July 2027 due to funding.
Key responsibilities
* Work with academic and professional services team members across and externally to the university, attending various meetings to write minutes and preparing paperwork in advance of meetings.
* Provide support during exams, communicating clearly and following direction of senior team members.
* Be a valued member of an established team of four, working under the guidance of an Assessment Administrator and alongside another Assistant Administrator.
* Liaise with academic staff to update assessment forms on the relevant system.
* Create data files to upload to digital forms for upcoming student assessments.
* Proofread written exam instructions to share with students and double‑check exam arrangements before students are informed.
* Update Excel based trackers to indicate progress of assessment forms for ongoing student assessments.
* Prepare exam allocation of students to rooms and venues for upcoming exam dates and create invigilator room packs for exams.
* Serve and attend various meetings, including post‑test meetings, working groups and team meetings, and type up minutes using existing templates.
* Maintain open communication with the team, asking for support, checking each other's work, and motivating each other.

Location
The position will mainly be based between the John Bull building in Plymouth, but during assessments may be required to be present at various locations across Plymouth. Occasional travel to Torbay, Truro and Taunton sites may be required.
