Job title: Project Coordinator
Job Type: Permanent, full time
Reporting to: Field Manager - UK
Location: Office-based, London UK
Job purpose
Support Project Leaders in the UK for field visit scheduling activities by liaising with freelance field workers as per project timelines, geographical spread and field worker availability. While the focus will be on the UK market, there might be a need to support other STEM geographies as per the business requirements.
Responsibilities
* Project set up
* Build Project Scheduling database
* Allocate field visits to field workers ensuring target numbers are met for each project with an optimal geographical spread
* Provide a Project Overview to the field worker team detailing: company, product, contact points, field visits start/finish dates, briefing date, when they will receive the briefing document and workbook, and attached standardized STEM booking emails and notes
* Communicate with field workers and maintain their individual project trackers (monitored weekly)
* Invite field workers to project briefing and debriefing
* Achieve project scope: ensure field visits and interviews meet client-approved scope; maintain target numbers by reallocating reps when necessary
* Provide a weekly update to the project lead and analysis team detailing booking rates, completion, and call rate figures
* Liaise with the Project Leader if issues jeopardising scheduling completion
* Ensure timely delivery of workbooks to the Analysis Team for client reports
* Update monthly fieldworker availability with a quarterly forecast for capacity mapping
* Recruit new field workers as necessary
* Collaborate with other Project Coordinators and cover projects in other countries
Proven experience
* Successful track-record in managing multiple projects simultaneously, including large cross-functional transformations
* Minimum of two to three years project management/coordination experience
* Ability to prioritise a diverse workload while multi-tasking on several projects
* Manage, engage and motivate freelance field workers
* Support, influence and communicate efficiently with decision makers
* Remain calm and quality conscious in a fast-changing environment when under pressure
* Proactive, problem-solving nature with an ability to see the bigger picture
* Working independently and as part of a team; well organized, an excellent communicator, confident in a remote work setting
* Advanced user capability in MS Excel
* Strong problem-solving and focus on completing activities within project coordination scope
* Excellent analysis and attention to detail; able to optimise resources
* Open and supportive collaboration with colleagues
* Planning ahead and taking responsibility proactively
* Project coordination, project management or customer service experience is essential
* English proficiency in spoken and written form to communicate with global coordination team
