Location: Remote but with adhoc travel for team meetings at our head office in Camberley and occasional landlord meetings

Job Summary

Reporting to the Property Management Regional Director, this is an exciting opportunity to work alongside a newly formed, growing and evolving Multi Landlord team, of which will be responsible for all communication to our portfolio landlords. As the Onboarding Property Manager, you’ll be the first point of contact for our new landlords during the crucial transition phase from their previous managing agent to our care. You’ll collaborate closely with offboarding agents, internal teams, and landlords to ensure all data, documentation, and communication are accurate, timely, and handled with care.

We are looking for someone who is relationship‑focused, persistent, and thrives on creating smooth, confident transitions for our landlords and their tenants while championing our values. Must have experience in either property management or lettings management.


Key Responsibilities

* Landlord Portfolio Onboarding Management: Lead the end‑to‑end onboarding process for new property portfolios with passion and precision, ensuring accurate data entry, documentation uploading, and proactive follow‑up with previous managing agents. Demonstrate integrity in handling sensitive information and ensuring every detail is correct.
* Landlord Liaison: Build strong, respectful relationships with landlords by communicating clearly and professionally. Ensure all portfolio documentation is complete and correct, instilling confidence and trust from day one.
* Collaboration with Multi Landlord Property Managers and Lettings: Support the Lettings team by consistently updating them on onboarding progress and ensuring a clean, timely handover to Multi Landlord Property Managers.
* Status Monitoring: Proactively track onboarding milestones and monitor property portfolio statuses. Persistence and passion for excellence will drive timely completions and highlight areas needing attention.
* Reporting and Compliance: Compile accurate weekly reports detailing onboarding progress and flag any outstanding documentation. Demonstrate integrity in your reporting and passion for maintaining high standards.
* Process Improvement: Collaborate with internal departments to uphold robust onboarding processes. Make bold, brave recommendations for improvement where needed, always acting with respect for people and processes and a passion for delivering excellence.
* Administrative Support: Carry out a range of general administration duties with integrity and attention to detail. Approach even the smallest task with passion for excellence and pride in your work.
* Demonstrate respect in all communications, both internal and external. Your support will play a critical role in maintaining the smooth running of the onboarding process and overall landlord and tenant experience.


About You

* You’re an excellent communicator with a strong sense of customer service.
* You’re confident in working with data, documentation, and multiple stakeholders simultaneously.
* You approach challenges with bravery and persistence, never hesitating to follow up for what’s needed.
* You thrive in a team environment but are equally comfortable working independently.
* You believe in doing things the right way – with respect, integrity, and passion.
* You have a natural talent for building rapport and relationships, especially during key transition moments.
* You have a sales or client‑service mindset, with the ability to communicate persuasively and confidently.


Desirable Skills And Experience

* Previous experience in property management (preferred but not essential)
* Proven ability to manage complex administrative tasks and timelines
* Strong attention to detail and organisational skills
* Competency in Microsoft Excel and other data management tools
* Experience with Reapit (preferred but not essential)
