The Head of Projects is responsible for leading and managing the Projects Desk, which includes project managers and bookers overseeing client delivery.
This role focuses on effectively allocating resources, ensuring an exceptional client experience, and maintaining strong revenue performance in line with the company's margin and utilisation targets. They will oversee all operational and commercial aspects of the Projects Desk, offering strategic guidance to the team and supporting their professional development.
They will also drive initiatives to improve visibility into the sales pipeline and stock availability, ensuring the Managing Directors have the insights needed to make informed strategic decisions.
A key focus will be on improving response times from project managers and bookers, and ensuring all new inbound enquiries are promptly actioned and accurately recorded.
The Head of Projects will maintain oversight of all bookings, collaborating closely with the Operations Manager to ensure forward planning and clear visibility across projects.
They will be responsible for the effective allocation of assets and personnel to meet delivery demands.
A key responsibility of the Head of Projects is to ensure gross margin targets are achieved.
They will work closely with commercial and operational teams to produce asset utilisation and work-in-progress (WIP) reports, contributing to the company's weekly management information (MI) packs that support strategic decision-making.
They will also work with the Accounts Department to ensure costs are accurately tracked through the purchase order (PO) process.
The Head of Projects is a senior leadership role reporting directly to the Managing Directors.
While primarily based at the West London office, the position may also involve travel to regional offices and attendance at client meetings both on-site and off-site.
Responsibilities - Main duties and responsibilities include, but are not limited to:
* Line management of the projects desk, providing day-to-day mentorship and cultivating a thriving and content atmosphere in the workplace. Ensuring the whole team are appropriately trained and capable of running all their projects effectively, and are adhering to the best project management practices.
* Collaborate with the Project Managers to develop both existing and new client accounts, serving as the main point of contact for our internal projects team.
* Having an overview of all projects and hires, providing communication to the broader team about how resources should be allocated.
* Maintain and oversee projects, both simple and complex, from initiation to completion when required.
* Leading on resolution of client issues, ensuring they are handled promptly and professionally, with the client relationship prioritised throughout.
* Promoting a culture of open-minded problem solving, high attention to detail and strong organisation skills.
* Maintain a solid understanding of the different sectors that Hotcam operates in; chiefly fact-ent, entertainment, systems and OB and ensuring that the projects desk caters effectively to each.
* Responsible for administrative duties across the Projects team, including HR records, onboarding, annual leave management and sickness management.
* Issuing work-in-progress (WIP) and invoicing reports, as well as working with the Commercial Director and Managing Directors to produce sales pipeline reports.
* Work with the Managing Directors to ensure that commercial activities align with company cashflow forecasts;, including negotiating down payments and sensible terms with clients and suppliers.
* Ensuring that bookings meet the companies margin targets and that pricing structures support long-term sustainability.
* Collaborate with the broader management team to devise and implement improved processes and systems that enhance reporting and decision making.
* Maintain strong relationships with suppliers and ensure the Projects team are negotiating competitive cross-hire rates, and are building accurate cost reports.
* Provide advice and input on capital expenditure for the rental fleet.
* Conduct structured and ad-hoc training with project-facing staff.
* Ensure the successful delivery of projects, maintaining high standards and service throughout the process.
Must have excellent knowledge of the Broadcast equipment hire market, be a strong leader and have some relevant technical experience.
