About the Role
Working within the firm’s dedicated patent support team, you will provide essential PA and administrative assistance to a group of Fee Earners. This role is central to ensuring smooth daily operations and delivering an exceptional level of support to both internal teams and clients.
Responsibilities
* Provide full PA and administrative support to around six Fee Earners.
* Manage diaries, inboxes, meetings and travel arrangements.
* Assist with billing tasks, checking narratives and coordinating with accounts.
* Prepare letters, reports, filings and bundles to a high standard.
* Handle incoming matters during Fee Earner absences where appropriate.
* Maintain and update case files using the firm’s document management systems.
* Draft official forms for UK, European and international patent and design filings.
* Monitor daily prompts, liaise with clients, patent offices and external attorneys.
* Use Inprotech to access case information and request translations or assignments when needed.
Requirements
* Secretarial qualification or prior experience as a Patent Secretary, Patent Administrator or Legal Secretary within an IP-focused team.
* Strong organisational skills with the ability to prioritise and meet deadlines.
* Proactive, adaptable and confident working both independently and as part of a team.
* Excellent written and verbal communication skills with strong attention to detail.
* Comfortable drafting simple correspondence with minimal guidance.
* IT literate, ideally with experience using Microsoft Office, Online Filing 2.0, Inprotech, Aderant and SharePoint.
