Job Overview
To provide Information Governance and Records Management administrative support to the Information Governance and Records Management Department, including processing access to health records and Freedom of Information Act requests, and ensuring compliance with Data Protection Legislation, the Access to Health Records Act 1990 and Information Governance standards.
Main Duties of the Job
* Process all associated documentation regarding appropriateness of requests, consents, identification checks, photocopying and handling sensitive information.
* Assist clinical services in processing access to health records by identifying correct records, performing first screening for third‑party information and assisting with final redactions.
* Acknowledge, log and provide partial cover for Freedom of Information (FOI) requests, supporting the FOI officer during absences.
* Maintain confidentiality and security of patient data in accordance with all relevant policies and procedures.
* Retrieve, file, track and archive health records both on‑site and off‑site using the electronic tracking system and the Dataspace file live system.

Person Specification
Qualifications
* Essential: Educated to GCSE standard or equivalent; NVQ Level III in Administration or equivalent work experience.
* Desirable: Information Governance and/or Records Management qualification or relevant experience.
Knowledge and Expertise
* Essential: Advanced computer literacy including Microsoft Office; knowledge of legislation and best practice in Information Governance (Caldicott, Confidentiality, Data Protection, Freedom of Information).
* Desirable: Good understanding of NHS protocols and standards for Information Governance.
Experience
* Essential: Proven administrative ability and organisational skills, preferably acquired in a health setting.
* Desirable: Experience working with specialist information systems and within an Information Governance focused role.
