Job overview

We are seeking an experienced administrative staff to join our busy and dynamic CAMHS team in Barking and Dagenham. This post has been created following a recent consultation as the service moves to a new i-THRIVE informed model of delivery. We have a growing, supportive team and we are looking for someone who can provide a responsive and efficient administrative service to meet the needs of the team. The post holder will be expected to support their team, department, and organisation to achieve the Trust's Values in their day-to-day post holder will use their reason, intellect and judgement to work on their own initiative to deal with matters on behalf of their manager to provide high quality business support.

Main duties of the job

1. Open and sort incoming emails and other post in a timely manner, and where appropriate, personally prepare and send responses to correspondence.
2. Undertake word processing of all documents to a high standard, in an agreed Trust style and using an appropriate referencing system.
3. Utilise advanced level IT skills to create reports, spreadsheets and presentations.
4. Act as a central point of contact for external and internal callers, making judgements regarding appropriate dissemination of key information.
5. Oversee the facilitation and administration of meetings/panels, including: taking formal minutes that are intended for external review safeguarding, the production of agendas and coordination of papers, ensuring that key documents are available within defined timescales.
6. Propose and implement changes to working practices to reflect the needs of the Service.

Starting with NELFT
NELFT place a great deal of importance on new starters being properly welcomed and inducted into the Trust. All new starters will join the Trust on the first Monday of each month and will undertake a comprehensive induction of up to two weeks which will include mandatory training, systems training and the allocation of equipment. As part of the process new starters will have the opportunity to also meet the executive team, senior managers, and attend a number of drop-in sessions focusing on engagement, health and wellbeing and key processes. The induction will be held at our head office in Rainham, Essex.

Probationary Period
This post will be subject to a probationary period.

High Cost Area Supplement - Outer London

This post also attracts payment for High Cost Area Supplement of 15%of the basic salary (minimum payment of £4,714 and a maximum payment of £5,941 - per annum, pro rata for part time).

Detailed job description and main responsibilities

7. Proactively maintain administrative systems as required to support the smooth running of the CAMHS Service.
8. Deal sensitively with any complaints, problems or issues arising, highlighting and referring problems where necessary to the line manager.
9. Participate in project work.
10. To be responsible for managing timely turnaround on all referrals in the CAMHS Service and information and referrals are open on RiO.
11. Ability to take dictation/transcribe from audio dictation, including medical reports.
12. Prepare patient lists ready for multidisciplinary meetings and perform outcome post-meeting action plans promptly in support of safe, effective care to the patient.
13. Note taking during MDT meeting, actioning on MDT outcomes on Rio and adding patients to waiting list.
14. Sending out clinical assessment reports to internal and external clinicians
15. Sending out, chasing, and uploading service specific forms that need to be completed by internal and/or external stakeholder

16. NVQ level 2 or equivalent standard of literacy and numeracy
17. NVQ level 3 in relevant subject or equivalent level of proven experience
