Role: KSL Capital Partners LLP is seeking an exceptional and highly experienced Executive Assistant to provide comprehensive support to one of their Partners. This pivotal role requires a proactive, meticulous, and adaptable professional who can seamlessly manage complex schedules, orchestrate global travel, and flawlessly execute high-profile events and functions. The ideal candidate will be an indispensable partner, anticipating needs, exercising sound judgment, and maintaining the highest level of confidentiality and discretion. This role demands an individual who thrives in a fast-paced environment and can expertly navigate the demands of a dynamic international schedule, along with being a true team player with existing support staff. Responsibilities Complex Diary & Calendar Management Proactively manage and optimize an extremely dynamic and intricate calendar, including scheduling meetings, appointments, and conference calls across multiple time zones. Coordinate seamlessly with other executive assistants and internal stakeholders to ensure alignment across all scheduling touchpoints. Prioritize and resolve scheduling conflicts with minimal disruption, ensuring efficient use of the executive’s time. Anticipate scheduling needs across travel, meetings, and external events to allow the executive to transition smoothly from A to B to C—without needing to think about logistics. Global Travel & Roadshow Management Arrange comprehensive domestic and international travel logistics, including flights, luxury accommodations, ground transportation, and detailed itineraries. Secure necessary visas and manage all travel-related documentation. Act as a key support during intensive travel periods and roadshows, overseeing calendar coordination, preparation of due diligence materials, and day-to-day logistics. Ensure full forward planning and anticipation of needs so the right materials are ready, the car is where it should be, and every detail is handled proactively. Troubleshoot and resolve travel disruptions in real-time to ensure seamless execution of plans. Events & Functions Coordination Plan, coordinate, and execute high-level internal and external events, meetings, and functions—from intimate dinners to large-scale conferences. Manage all aspects of event logistics, including venue selection, catering, invitations, RSVPs, AV requirements, and on-site management. Ensure each event reflects the executives’ and the firm’s professional image and objectives. Administrative & Strategic Support Act as a primary point of contact for internal and external stakeholders. Prepare presentations, reports, and other materials with precision and a strong attention to detail. Conduct research and compile relevant information for ongoing projects and strategic initiatives. Accurately manage and reconcile corporate credit card expenses. Take ownership of special projects as assigned, demonstrating initiative and sound project management. Support executive with a high level of organization, prioritization, and judgment. Office Responsibilities & Ad Hoc Support Serve in designated roles such as Building Tenant Representative, First Aider, and Fire Warden (training to be provided as needed by KSL). Provide front-of-house support by greeting visitors and managing office-related administrative tasks. Take the initiative in identifying opportunities to reduce the administrative burden and enhance productivity. Desired Skills and Experience: Minimum of 8-10 years of executive assistant experience supporting C-suite executives in a fast-paced, global environment. Demonstrated expertise in complex diary management across multiple time zones and demanding schedules. Extensive experience in orchestrating detailed domestic and international travel, including managing visas and intricate itineraries. Proven track record of successful planning and executing high-profile events and functions. Exceptional organizational skills and meticulous attention to detail, able to manage multiple tasks under tight deadlines Proactive, resourceful, and capable of anticipating needs and problem-solving independently. Superior written and verbal communication skills, with the ability to interact professionally with individuals at all levels. High degree of discretion and ability to handle confidential information with utmost integrity. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with relevant travel and expense management software. Flexibility to work outside of standard business hours when necessary to accommodate travel and events.
