Criteria:
* Preferable experience of working in the letting of properties and property maintenance field (training will
be given to suitable candidate where required)
* Good Communication skills, must be able to use own initiative and effective and be a decisive problem
solver.
* Experience of using computer software including Microsoft word, Excel, Outlook and our in-house
software (training will be given for in-house software)
* A practical commitment to the provision of high-quality services to customers.
* General understanding of the role of property maintenance and the links between other agencies and
Landlords and tenants.
* Must have exceptional planning and good telephone manners verbally and written.
* Must be able to work as a team member at all times, both in the out of the office
* Must understand and keep the company's business as confidential and not to divulge company
information external to other competitors or business associates
* Must be able to plan and prioritise their own work load and able to work under pressure.
* Must be able to make decisions and take ownership of individual workload, whilst being able to work
within and as part of a team
Role and main duties:
* To work on own initiative for all aspects of maintenance of all properties and be responsible for liaising, discussing and issuing of work orders to contractors, uploading of invoices received and checking for duplications. To take responsibility for liaising and communicating with in-house staff, landlords, tenants and contractors, verbally and in writing.
* To be able to deliver an efficient and effective maintenance services to tenants and Landlords.
* To take full responsibility for properties as and when they become empty. To note the void dates and discuss with relevant staff and managers so that immediate action is taken to avoid delays in in getting the properties ready to relet. To maintain and update the void properties on the board daily.
* By virtue of maintenance service delivery, ensure that the condition of all properties meets all statutory and regulatory standards.
* To work with other staff members/ office management surveyor/ inspectors/contractors in updating the information for every property following inspections and work towards property inspections, reduce the maintenance works required to the properties, thereby resulting a cost-effective service to the landlords and us as a management company.
* To inform landlords in writing as required for works necessary for permission to proceed with works
* To organise the ordering of furniture and other appliances as and when required for new lets and void relets and to keep track and liaise with Accounts Assistant of all purchases.
* To work in conjunction with property inspections by inspectors and to note and issue work orders for necessary works and keep and monitor the contractor's completion and to update on the system.
* For efficient and to understand the repairs, must prompt tenants when they report of defects and thus able to diagnose defects and be able differentiate between repairs and damage by tenants.
* To advise tenants of any damage verbally and in writing. Update the office systems daily. Where necessary, refer the matter to senior and or maintenance staff for further action to be taken.
* To work closely with all office staff, assist in their work as and when required and when on holidays and help meet deadlines.
* As and when required to deal with and hold office petty cash and to maintain the updating of expenditure
