Events Assistant

New Hall School The Avenue, Boreham, Chelmsford, Essex, CM3 3HS.

Contract: Permanent, Full‑time – Salary £26,785.00 to £30,906.00 per annum. Start date: June 2026 onwards. Positions available: 1.

Key responsibilities:

* Assist in the organisation and delivery of school events, lettings and holiday camps across Nursery, Preparatory and Senior Divisions.
* Support maintenance and accuracy of the events/calendar, ensuring timely updates.
* Assist with on‑site event set‑up, delivery, breakdown and act as point of contact during events.
* Support the Events Manager in planning and delivering holiday camps and activity programmes.
* Liaise with Catering, Domestic, Operations, Estates and IT teams to communicate requirements and submit requests within deadlines.
* Prepare, circulate and file event risk assessments, supporting health & safety compliance.
* Administer letting agreements and venue hire agreements for external users.
* Welcome, meet and check‑in venue hire groups, communicating health & safety procedures.
* Support website event sign‑ups, ticket issuance and badge creation.
* Ensure notice boards and internal communications publicise upcoming events, lettings and camps.
* Assist in design and production of event invitations, posters, tickets and promotional materials.
* Support collection and analysis of attendance data and event feedback for evaluation and future planning.
* Help manage the events mailbox and respond to routine enquiries promptly and professionally.
* Maintain and update event and camps pages on the school website.
* Maintain accurate event records, including attendee lists, ticketing information and basic financial tracking.

The successful candidate will be expected to:

* Be educated to A Level (or equivalent qualification).
* Have experience of a similar role, ideally within a school setting.
* Have excellent communication, organisational and time‑management skills.
* Have excellent IT, creative design and interpersonal skills.
* Understand the importance of promoting and safeguarding child welfare.
* Be willing to participate enthusiastically in aspects of boarding school life.
* Be able to work alone and as part of a team, be a self‑starter, highly motivated, proactive and keen to learn.
* Show approachability, confident demeanour and empathy.
* Exercise discretion and sensitivity, including professional confidentiality.
* Adapt working hours flexibly to meet school needs.
* Have knowledge of the education sector or independent schools (desirable).
* Have additional qualifications in events management and/or residential lettings (desirable).
* Be educated to degree level or equivalent qualification (desirable).
