Business Support Team Lead

We are looking for an organised and motivated Business Support Team Lead to lead the business support team for our community mental health services within Fareham. The post holder will have experience of providing a high-quality administration and secretarial service to support our team.
As a key member of the service, you will support the Team Manager with the day‑to‑day operational running of the service, ensuring patient care remains the central focus. You will lead a team of business support staff, ensuring workloads are effectively managed and key performance targets and deadlines are consistently met. You will promote a culture of excellent patient care, ensuring a professional, responsive, and efficient service is delivered at all times. You will work collaboratively with the clinical team and other business support teams across Portsmouth and Southeast Hampshire.

Main duties of the job
* Provide comprehensive administration service to the staff and management of the CMHT inclusive of diary management, correspondence, development and maintenance of document management systems.
* Ensure high standard of service, make recommendations and implement new developments.
* Ensure all typing and admin duties are promptly and efficiently completed.
* Knowledge and use of relevant computer systems, prompt response to emails bringing matters to the attention of management.
* Ensure efficient telephone service and message taking system.
* Run, analyse and validate reports relevant to your role.
* Instigate relevant policies and procedures.
* Supervision of staff and annual appraisals. Conduct sickness monitoring, capability and conduct proceedings as required.
* Keep up to date with training, ensure your staff do.
* Preparation and management of key meetings, including collation of information and disseminating invites and minutes.
* Manage the roster.
* Manage complaints that are relevant to your team.
* Recruitment and retention of admin staff. Induct new starters, regular admin team meetings.
* Attendance at meetings as required.
* Ordering of equipment and supplies.
* Liaise with building manager and estates.
* RA agent for Rio.
* Use of initiative, decision making, problem solving.
Qualifications
* GCSE A-C in English and Maths.
* NVQ level 3 in business administration or equivalent.
* Competent in the use of software packages.
* Level 4 qualification in management or business administration.
Experience
* Line management of staff.
* Implementation of systems underpinning good practice.
* Ability to recognise conflict, skills to de‑escalate situations.
* Excellent organisational and communication skills; oral and written English.
* Ability to prioritise and manage stress.
* Knowledge of health and safety, and equal opportunities.
* Understand confidentiality and experience of working with the general public.
* Experience with HR processes.
