Straight to Test Clerk
The Straight to Test Clerk ensures the delivery of an effective and efficient administrative and clerical service to the Colorectal team. The postholder works closely with the Straight to Test nurse practitioner alongside other administrative and clinical colleagues. Welsh language is desirable and both Welsh and English speakers are welcome to apply.
Responsibilities
* Serve as the primary point of contact for the Straight to Test referrals pathway.
* Coordinate with a wide range of colleagues and stakeholders, including Department Managers, Consultants, clinical and administrative staff, GP practices, patients, visitors, health records teams, clinic receptionists, ward clerks, nursing staff, and outpatient management teams.
* Send letters and EIDO consent information to patients selected for telephone clinic appointments.
* Process outcomes and arrange any required diagnostics or follow‑up clinic appointments.
* Maintain the Straight to Test spreadsheet accurately and up to date, monitor patient status, issue correspondence on time, and remove patients from outpatient waiting lists when appropriate in line with local policies, procedures, and Welsh Assembly guidelines.
* Keep WPAS system information accurate and up‑to‑date, ensure data quality, and adjust the pathway in accordance with policy.
* Manage clinic cancellations according to PABC policies and procedures, escalating any issues to the Surgical Management Team.
* Communicate regularly with patients, healthcare professionals, external agencies, and BCUHB staff regarding appointment queries and clinic availability.
Qualifications
* NVQ Business Administration Level 3 or equivalent experience.
* RSA/OCR Level 2 or equivalent (must be a proficient user of Microsoft Word).
* IT related qualification: CLAIT Plus / ECDL or equivalent.
Desirable Qualifications
* AMSPAR – City & Guilds Level 3.
* NVQ Customer Service Level 3.
Experience and Skills
* Knowledge of a range of administrative processes.
* Experience working in a busy office environment.
* Typing experience.
* Experience working within the NHS (desirable).
* Competently communicates professionally and effectively with all levels of staff both verbally and in writing.
* Proficient in Microsoft Office applications.
* Experienced in planning, organising and prioritising own workload.
* Flexible and adaptable to changing service demands.
* Excellent organisational skills.
* Evidence of continual personal development.
* Ability to deal with sensitive information.
* Knowledge of NHS systems (desirable).
* Knowledge of Referral to Treatment (desirable).
