Position: Practice/Office Administrator
Location: Maidstone, Sittingbourne and Bexley
Type: Full-Time 37.5 or 40/week (Negotiable hours for the right candidate)
About Us: Xcel Health is a rapidly growing private healthcare business with a presence across Kent, including Sittingbourne, Maidstone, Sheerness, Orpington, Sevenoaks and Bexley. We are seeking a motivated and experienced Practice/Office Administrator to join our dedicated team. This role is crucial to the day-to-day operations of our clinic, involving patient engagement, administrative and operational support, and business development.
Key Responsibilities:
* Front Desk Cover – Warmly greeting and assisting patients
* Diary Management
* Maintaining confidentiality of information
* Processing payments, Raising invoices and debt chasing
* Identifying new sales opportunities
* Managing stationery and equipment supplies
* Maintenance of consulting rooms between sessions
* Building and maintaining long-term client relationships
* Liaising with our insurance clients
* Addressing client concerns and complaints
* Excellent multitasking and telephone skills
* Enthusiastic, personable, and positive attitude
Requirements:
* At least two years experience in Customer Service Administration or a related field
* UK Driving License, Driving is required
* Proficient in MS Office; working knowledge of CRM platforms
* Customer-oriented with problem-solving aptitude
* Proven experience in client relationship management or sales
* Strong negotiation and influencing skills
* Ability to communicate confidently both verbally and in writing
* Self-motivated with a can-do attitude
* Resilience and ability to adapt to change
* Experience tracking relevant KPIs (e.g., customer satisfaction)
