Team EA - Boutique Finance company Small company based in the West End Hybrid working available Either 8.30am-5.30pm or 9-6pm Key Responsibilities: Supporting Partners and Team: Act as the first point of contact for the team. Arrange complex travel, working closely with travel agents. Coordinate flights, visas, hotels, and ground transportation for the team. Schedule and coordinate in person meetings, video calls, booking meeting rooms. Team Diary management. Create and maintain holiday/contact spreadsheets and company documentation. Co-ordinate internal and external events. Co-ordinate yearly investor meeting overseas. Follow up on invoices, filing, and manage administrative databases. Work closely with the EA to the CEO and assist with tasks as needed. Office Management: Oversee the day-to-day operations of the office to continuously improve the work environment. Maintain a clean, fully equipped, and organized office space. Manage relationships and contracts with vendors and suppliers (cleaning, building management, office equipment). Ensure a safe office space compliant with Health and Safety regulations (PAT testing, First Aid, Fire Wardens). Plan and manage the office budget. Lead IT support, managing service provider support and contracts, equipment management, and software/systems. Ordering office supplies and refreshments. Handle travel insurance claims, preparation of travel spreadsheets and costs, and collection of invoices and data. Lead the Carbon Neutral project and collect data for submission. Preparation of personal expenses for Partners and the team members and collection of data for reimbursement. Assist with various projects as needed. Liaise with office management, reception, cleaners, contractors, and report issues. Schedule repairs and maintenance. The ideal candidate: Polished Team Assistant with ad-hoc Office Management experience 2-3 years Team Assistant background ideally in boutique finance.
