The role of Alliance Teaching Practice Site Lead requires a self-motivated, disciplinedindividual to take ownership of the efficient day to day running of thepractice, supporting the Group Practice Manager and working as a key member ofthe Management Team.

The post-holder will provide strongleadership with business, financial and people skills to continue driving thepractice forward by identifying and acting on, practice and businessopportunities.


Main duties of the job

To take responsibility for the management of staff on site whilst working in partnership with other Alliance Teaching Practice Site Managers. To maintain Clinical Services and Appointments systems ensuring appointments are fill with appropriate patients for the clinician. To maintain all rotas for clinical and non-clinical staff, including holidays/sickness planning. To ensure effective administration support. To manage all aspects of patient information across all branches. To provide appropriate assistance to the Group Practice Manager in all day-to-day activities and duties. To ensure that all information is up-to-date including registrations and keeping high standard of adherence to GDPR.

Job responsibilities

Staffingand People Management

Evaluate,organise and oversee staff induction and training and ensure that all staff areadequately trained to fulfil their role.

SupportGroup Practice Manager in workforce planning and co-ordinating the recruitment,induction and training of new staff.

Planning and recruitmentof Locum cover.

Prepare weekly/monthlyshift planning for Practice Staff, (including clinical and non-clinical) andarranging cover (including locum cover) when necessary.

Identify training anddevelopment needs for Practice staff.

To monitor staff annualleave, sickness and absence and mitigate any impact to practice staffing rotas.

Ensure all Practice staffare aware of the need for confidentiality, both of patient and practice information.

Create a team culture andprofessional working environment within the teams and sites, developing theteam to reach their goals with a program of coaching, supporting and motivatingstaff to promote effective team working and individual capability in aperformance driven function.

MonitoringPractice Performance and Targets

To read and be aware ofall the primary Care KPIs and relevant targets and contractual obligations andwork towards achieving these, including:

Enhanced Services

Locally CommissionedServices

QOF (Quality OutcomesFramework)

GP Contract

Medicines Management andadditional Services.

Stop smoking and muchmore

To be updated withspecifications on an annual and ad hoc basis of all requirements.

Monitor and evaluateperformance of the Practice team against objectives; identify and manage change

Monitor quality ofworkload delivered by the team and make sure all workload is completed dailyand collectively by the whole team.

To plan and implementprocesses to achieve targets with GPs, Nurses and Group Practice Manager

Support and work withGroup Practice Manager, General Practitioners, Nurses and administrative staffto achieve targets.

StrategicManagement and Planning

Keep abreast of currentaffairs and identify potential threats and opportunities.

Contribute to Practicesstrategic priorities, formulation of objectives and research and development ofideas for future Practice development.

Undertake required andagreed tasks, taking full responsibility for them.

Play an active part indevelopment and maintenance of effective communication both within the Practiceand with relevant outside agencies.

Assist in assessment andevaluation of accommodation requirements.

Understand and report onthe financial implications of contract and legislation changes.

Manage appropriatesystems for handling and recording of petty cash.

Report efficiently toGroup Practice Manager and to the finance department all required monthly KPIs.

Be efficient inpurchasing and stock control.

Organisational

Convene meetings, prepareagendas, write minutes and ensure distribution of minutes with action logs asnecessary.

Take active part indevelopment of Practice protocols and procedures, review and update as required.

Ensure that cleaning andhygiene standards are properly maintained, and adequate fire prevention andsecurity systems are in place.

Ensure the procurement ofPractice equipment, supplies and services within target budgets.

Presentperformance reports in a clear and reasoned format for a variety of audiencesincluding senior leadership team, commissioners and presentation of committeereports.

Adopt a strategicapproach to the development and management of patient services.

Ensure servicedevelopment and delivery is in accordance with local and national guidelines.

Ensure that the Practicecomplies with NHS contractual obligations in relation to patient care.

Maintain registrationpolicies and monitor patient turnover and capitation.

Oversee repeatprescribing systems

Manage an effectiveappointments system ensuring all appointments are filled and with appropriate patients.

Manage online triage requests ensuring all completed within a safe time period.

Oversee and organisesurgery timetables, duty rotas and holiday cover

Routinely monitor andassess Practice performance against patient access and demand managementtargets

Develop and implement aneffective complaints management system

Willing to take activepart with patient groups and patient engagement events.

InformationManagement and Technology

Ensure that analyticalknowledge is applied and make sure that development and understanding of keyessentials are met. These are:

Motivate, support andmonitor staff in the use of IT; organise, oversee and evaluate IT training.

The post-holder will participate in any training programme implementedby the Practice as part of this employment, such training to include:

Participation in anannual individual performance review, including taking responsibility formaintaining a record of own personal and/or professional development.

Taking responsibility forown development, learning and performance and demonstrating skills andactivities to others who are undertaking similar work.

Take personalresponsibility for mandatory training to be kept up to date.

Person Specification


Experience

* Experience working with the public
* Experience at dealing with complaints from customers/patients
* Leadership experience (worked in and managed a team)
* Driving and delivering change within a business
* Finance experience to include understanding budgets, understanding and proven track of delivery of KPI, ability to manage financial books and upkeep the recording of Petty Cash etc.
* HR Experience to include:
* Disciplinary/ Grievance hearings
* Performance Management
* Sickness Management
* Staff training
* Staff Development Planning
* Experience working in a healthcare setting
* Experience of working in Primary Care
* Health and Safety Management to include: Risk assessments, Accident Reporting, GDPR


Qualifications

* A level or equivalent
* Any other relevant qualification such as ILM, CMI etc.
* Degree in Business Management or equivalent


Other attributes

* Ability to work flexibly, including weekends/ evenings when necessary.
* Willingness to undertake assessment and complete further training or qualifications.
* Ability and willingness to work flexibly across multiple sites.
* Full UK Driving license and own transport.
