The Role and What You’ll Do: The Project Co-ordinator role is a key role within the agency as you will be supporting the project team in the office during pre-production and onsite at live events. It's a junior role that requires some industry and a minimum of one year of agency experience. You will build on your previous knowledge and experience to develop a greater understanding of the roles within each department and the tasks involved in varied projects. A hard-working, practical individual will thrive in this role and will learn all the right skills to become a Project Manager. Within this role you’ll work on all types of projects with a lesser or greater responsibility depending on the project scope and will have the opportunity to own small projects whilst learning the project process from start to finish as well as how to nurture and build client relationships. Each project will be different and may include experimental marketing, events, or even some pitch work. You Have These: Be a reliable and trusted member of a project team Prioritise daily workload and ensure you remain organised and monitor progress to meet planned deadlines Be organised, proactive and show initiative Communicate proactively and professionally with your colleagues Be available and approachable to support the team Be open, honest and contribute positively to the company culture Have a willingness to be involved with pitch and presentation work for the new business or creative departments Keep up to date with social, digital, and cultural trends Maintain up-to-date industry knowledge through reading publications and journals Continually work to improve client relationships Responsibilities (Account/Project/Production) Ensure that all project processes are completed to the highest standard, are accurate, to budget and on time Attend weekly project team and client meetings and take minutes. Create, update, and distribute contact sheets, agendas, status reports, production schedules etc are compiled and send out pre and post meeting Collate and format keynote documents to present to clients Research supplier options, collate into supplier database and present them to the Project Director or Client Services Director Have a good supplier database and present them to your project lead Liaise with suppliers and external contractors in a positive and relationship building manner Support the Project Manager and wider team in tasks that require support e.g. errands, shopping, travel arrangements Logging receipts, creating purchase orders, and feeding into the budget management process Represent the agency to clients, suppliers, and guest in a positive and approachable manner Continually work hard to improve client satisfaction Actively seek new ways to improve on completing tasks quickly and sharing methods with the team Own the budget & client management process, both internally and for the client on projects of around £30k - £50k Have ownership over elements such as furniture, catering, branding on medium to large projects Build on your knowledge of our client's brand identities and what would and wouldn’t work for each client Continue to build on existing skills for delivering successful events Essential Skills Experience in office sharing programmes (word, excel, teams) Mac user Communicates effectively and constructively with the team and clients Excellent written and presentation ability Able to complete tasks at expected quality with strong attention to detail Able to work on multiple projects simultaneously and priorities workload Flexible approach to problem solving Bring fresh ideas to the team and challenge the status quo Be experienced in working individually or within a team on a variety of projects Confident when selling ideas to client and colleagues Experience in a fast-paced working environment Experience working with clients of varied sizes in different sectors 2-3 years industry experience We’d Love If You Also Have These: A positive can-do attitude A solutions-based mindset A natural gravitas and presence to make things happen Punctual, meets deadlines and can prioritise deadlines A true team player who is reliable, trustworthy, and open Ambitious, dynamic, autonomous, organised, self-motivated, calm, positive & resilient Culturally aware and sensitive Aware of current trends, openings, and experiences An ability to think strategically about marketing challenges, whatever the brief, audience, or channel Committed, enthusiastic, self-motivated and have high personal standards How we work: WME Group is at the center of sports, media, entertainment, and fashion and is a largely relationship-based business.
