JOB TITLE: Project Support LOCATION: London WORKING HOURS 9:00am – 17:30 Monday to Friday REPORTING TO: Project Director RESPONSIBLE FOR: None MAIN PURPOSE OF ROLE: Our mission: - To deliver an on-brand experience, evoking emotions & creating inspiring spaces. The Project Support role is a client-facing position within the Showcase Interiors project team, tasked with supporting the delivery of major projects. Based in the London office and reporting directly to the Project Director for project-related activities, the Project Support professional is responsible for managing and coordinating internal resources and external suppliers, addressing weekly action points, and raising potential issues in advance to the Project or Sales Directors. KEY DUTIES/RESPONSIBILITIES: 1. Client Facing • Attend design and project team meetings, producing minutes/action points within 24 hours. • Distribute meeting minutes/action points to relevant parties and follow up on actions to ensure completion. • Serve as the primary contact for the project team in the absence of the Project Director. • Fully understand project documentation, including design briefings, M&E, and IT/AV documents. • Attend client and design team briefings. • Participate in fabrics and finishes meetings, collating information and producing sign-off schedules. 2. Supporting the Project Team • Arrange and manage attendance for internal weekly project meetings. • Coordinate internal resources to address action points and meet deadlines. • Participate in the call-off process, ensuring accuracy with Project Director oversight. • Review and verify formulas and totals for cost schedules. • Collate and produce furniture performance standards. • Coordinate showroom visits, task seating trials, and pilots, documenting outcomes. • Support onsite product showcases by coordinating with all internal and external parties. • Collate and produce benchmark documents for the Project Director. • Ensure due diligence and qualification of incoming information before sharing with the Project Director. • Maintain hard copy and electronic project folders, ensuring all information is properly filed. • Track project-specific orders in coordination with the operations team and report issues to Project Director/Sales Director. • Coordinate with the Project manager on installation programs and processes. • Manage the snagging process during agreed snagging periods. • Produce O&M manuals and arrange client training post-installation. • Provide comprehensive project administration and presentations throughout the project. 3. Supplier Communication • Create written/visual supplier specification sheets for consistent RFPs. • Collate product and pricing information, conducting due diligence against specifications. • Develop familiarity with product specifications and related applications. • Maintain a positive relationship with suppliers and report any underperformance to the Project Director / Sales Director. • Attend supplier training sessions. • Archive old quotations and ensure current quotations are up to date. • Provide clear, concise, and detailed briefs to suppliers. 4. Administration • Adhere to standard templates for presentations, reports, and benchmarking documents. • Manage delivery and returns of trial items, entering relevant data into Easycom. • Produce sign-off sheets aligned with client processes or team requirements. • Load orders into the system, capturing all relevant information for PD verification. 5. Health & Safety • Maintain safe working practices whilst undertaking your duties at all times • To act in accordance with the company’s Health, Safety and Environmental policies, procedures and practices highlighting any issues appropriately 6. Miscellaneous • Work flexibly and be receptive and adaptable to a changing environment within a fast-expanding Company • Undertake any other reasonable tasks as directed by management
