The post-holder will be required to manage and undertake administrative duties within Therapy Services
which include Physiotherapy, Orthotics, Dietitians & Speech & Language Services across multiple sites within Hampshire Hospitals NHS Foundation Trust. You will be working as part of a therapy team to ensure a smooth and efficient service is delivered and maintained at all times. Duties will include administrative, clerical, customer care related tasks and additional duties which include creating and amending clinical templates for all the specialities. This will also include overseeing the invoice process on SBS System.
The post holder will flex with the needs of the service, managing a balance of general administration and other duties in order that our patients have a high-quality experience.
The post holder is vital in ensuring high standards of timely service delivery to the patients (adults and children) accessing the specialities within the Therapy Services Department. The establishment and implementation of proficient and professional office procedures is essential.
The post demands excellent customer service and communication skills.
Main duties of the job
·Support the Admin Manager with delegated tasks and to deputise in their absence.
·To manage incoming referrals for Therapy Services ensuring the maintenance of accurate and up to date live digital waiting lists.
·To build clinic templates for all services
·To collate monthly data on behalf of the Admin Manager
·To update and maintain the electronic therapist diary management system to ensure that both patient information and clinical diary details are accurate, facilitating the smooth running of all Therapy clinics.
·To ensure that a professional and welcoming reception environment is maintained.
·To manage the booking of appointments and any necessary cancellations for all Therapy and clinics giving clear and precise information to patients, ensuring all parties are informed and fully aware of appointment details.
