You will be at the heart of our operations and essential to its success, managing a variety of administrative tasks that keep our service running smoothly. From using both standard and specialised ICT systems to handling customer-facing communications and finance-related duties, your work will directly contribute to the success of improving homes and the lives of those who live in our communities.

As the first point of contact for customers, you’ll be the friendly, professional voice of the service—helping landlords, tenants, and stakeholders navigate housing regulations and processes. This role is based in the UK. Home Office guidance states that candidates must evidence their right to work in the UK prior to commencing employment, either as a UK or Irish citizen, under the EU Settlement scheme or having secured any other relevant work visa.

Job Description

Job purpose

To provide an effective and efficient administration and support service as part of a business support pool serving the Private Rented Sector Service in Housing Leeds.

Primary areas of work to include, providing administration support to the operational service as allocated, preparing routine forms and correspondence, collating and prepare information from a variety of sources, operating standard office ICT applications, operating service specific ICT and information systems, and being prepared to work flexibly across different disciplines in the Service.

Responsibilities

5. To liaison with the manager/senior officers and be responsible for ensuring delivery of a high quality and efficient service.
6. To provide a range of administrative support for both internal and external customers including offering help and advice to customers of the service.
7. To work as part of a team to provide customer focused services.
8. To liaise with colleagues in order to prioritise work to ensure deadlines are met.
9. To maintain accurate records and the track progress of work.
10. To assist with the induction of new staff.
11. To undertake administrative duties including;
12. Preparing routine correspondence, standard forms, reports and information commensurate with the grade
13. Managing meeting rooms and dealing with hospitality, including the signing-in of visitors, sending invitations and taking minutes as necessary.
14. Preparation of certificates, information packs, handbooks, licensing documentation etc.
15. Assist with the arrangements for events etc.
16. Act as the first point of contact for visitors and customers – both in person and on the telephone. It is expected that everyone will be dealt with in a courteous, professional, calm and friendly way.
17. Provide an excellent customer service to customers, colleagues and visitors.
18. To use IT applications to deliver the required service. To input and retrieve data using computerised systems.
19. To distribute mail on a daily basis
20. To undertake filling and photocopying as necessary
21. Operate relevant equipment/ICT packages e.g. word, excel, databases, spreadsheets, Internet
22. Undertake general financial administration e.g. processing orders and/or cash handling.
23. To assist in processing time/attendance sheets and maintain records for all staff under the guidance of senior officer.
24. Maintain stock and supplies, cataloguing and distributing as required.
25. Attend and participate in relevant meetings and forums as required and to take notes at meetings.
26. To work with colleagues to help improve work organisation and effectiveness.
27. Be aware of and comply with policies and procedures relating to child protection, inclusion, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person.
28. Understand and abide by the Council’s equal opportunities policy in the duties of the post and as an employee of the Council.
29. Participate in training and other learning activities and performance development as required and for personal development.
30. To undertake any other duties as required that are commensurate with the nature and level for this post.

Qualifications

NVQ Level 3 or equivalent would be desirable

32. Able to input/ retrieve information from different ICT systems
33. Able to process documentation using Word.
34. Able to accurately enter/retrieve data information from information systems.
35. Able to work flexibly as part of a team and in partnership with a range of public, private and third sector organisations.
36. Able to prioritise work to meet conflicting deadlines.
37. Able to demonstrate good numeracy & literacy skills.
38. An ability to respect sensitive and confidential work including knowledge of information governance and data protection
39. To display a responsible and co-operative attitude to working towards the achievement of the service’s aims and objectives.

Knowledge

40. Of general office procedures and practice.
41. Of relevant financial regulations to carry out financial transactions including an understanding of their importance

Experience

42. Of dealing with queries from a wide range of people especially the public
43. Of working in partnership with others to deliver work to set deadlines.
44. Of providing customer focussed services.
45. Of participating in teams especially front-line services.
46. In the use of ICT based systems and applications.

55. The Council has adopted a flexibility protocol and the role will be expected to work within these parameters

Desirable requirements Candidates are not required to meet all the following desirable requirements however these may be used to distinguish between candidates.

56. NVQ Level 3 or equivalent in a related field.
57. Qualifications demonstrating ability in numeracy and literacy.
