Training is a core activity across EMBL-EBI, involving almost every part of the organisation and coordinated by a team of about 20 people. The Training Team delivers a world-recognised programme that encompasses training delivered virtually and face-to-face to a global audience alongside self-paced online learning, up-skilling of trainers and secondments. The EMBL-EBI training team contributes towards a high number of externally funded projects; depending on the project this may involve training, facilitating, project management, community building, and dissemination. What you’ll do: Your primary objective will be to support the effective delivery and high standards of EMBL-EBI’s diverse and internationally recognised programme of grant-funded training and knowledge exchange activities. You will take responsibility for the full administrative lifecycle of the events, from initial planning through to post-event wrap-up. You will work independently on event logistics, in close collaboration with a dedicated Scientific Project Officer, to ensure the successful coordination of a wide range of grant-funded activities. This role is a grant-limited part-time position for 3 days a week. Main functions Communications ensuring clear, timely, and professional correspondence with event participants and trainers worldwide Event budget ownership for assigned events tracking spend, approving expenses, and ensuring policy compliance. Financial administration, including processing invoices, expense claims, registration fee monitoring, and administration of grant allocations CRM and event software management for registrations, abstract submissions, reviews, and participant data. Event website creation and maintenance, using content management systems Full logistics coordination, catering, technical, transport, travel, accommodation, reimbursements Virtual event coordination, including handbooks, video links, and communication channels Programming of non-scientific content of events, social and networking provision, off-site dinners, etc. Post-event reporting, preparing financial and statistical reports following events and collating information for funders and partners Sharing best practice in event delivery with colleagues and collaborators Relationship building with internal and external partners, scientific organisers, and service providers Marketing support, carrying out selected marketing functions, including mailing list communications, social media post creation, and reporting on marketing and event statistics Collaborating with the Marketing and Communications Manager and internal marketing teams to coordinate activities There will be an occasional requirement to work evenings and weekends in support of the programme, and the possibility of some overseas travel. You have: Managed both in-person and virtual events with 10 to 100 participants, overseeing all stages from planning to execution Skilled at coordinating multiple events simultaneously and understanding the needs of international speakers and delegates Self-motivated with excellent organisational, communication, and interpersonal skills, able to work well in teams and stay calm under pressure Committed to strong service ethic, ensuring delegates feel well looked after Experienced in database entry and management Proficient in Google Drive (especially sheets and documents ), email, and internet tools Excellent written and spoken English skills Ambitious to work in an international environment You might also have: A diploma or degree in events management, business, or administration is an asset. Experience working in an international organisation with grant funding is advantageous. Experience with various social media platforms, HTML, Google Analytics, Google Ads, Facebook Ads and LinkedIn Ads Contract length : 3 years grant based - With potential for renewal to December 2029 Salary : Grade 4 monthly salary starting at £3,064 per month (pro rata for 3 days per week) after tax but excluding pension and insurance contributions.
