Job summary

We have an exciting opportunity for a highly organised and proactive individual who is passionate about delivering excellent customer service to join our dynamic team as a SPA administrator supporting Wiltshire Childrens Community Services.

This is a key role where youll act as the first point of contact for patients, families, and professionals contacting our services via phone, email, and post.Youll play a vital part in ensuring referrals are handled efficiently and patients are directed to the right services quickly and compassionately.

This is a demanding but highly rewarding role that requires high levels of administrative and communication skills and the ability to work proactively as part of a team.

As an organisation, HCRG Care Group promotes colleagues health and wellbeing by offering a hybrid working model for this role, following completion of a probationary period, aiding a better work-life balance. The role is based at High Post in Salisbury.

We have full-time hours (37.5 hours per week) and part-time hours (22.5 hours per week and 28 hours per week) available so whether you are looking for a full time or part time role we have hours to suit you This is a fixed-term opportunity for 6 months.

Main duties of the job
* To provide initial screening of all referrals into the Single Point of Access (SPA) from GPs, Service Users, Parents, Carers and other partner organisations
* To direct incoming referrals to the relevant professionals and deal with any incorrect referrals at source
* To be able to follow guidelines/protocols and work with clinical colleagues to ensure patients are directed to the correct services in a timely fashion
* To prioritise the level of need of referrals and highlight any urgent referrals to the relevant avaliable health professionals
* Carry out call backs to referrers where necessary to ensure appropriate information is obtained to ensure a high quality referral
* To record all referrals accurately for service users and carers on various client information systems, following the agreed procedure. To ensure that these referrals are allocated to the appropriate team, and to ensure these records are confidential, but readily available to services
* To provide a signposting service to the public with information on HCRG Care Group and alternative services provided by other statutory and voluntary agencies
* Carry out data cleansing as and when required
* Book and schedule planned clinical appointments on SystmOne ensuring patients are seen within any contracted waiting times
