Office Administrator (Part-Time, with potential for more) SELF EMPLOYED

Overview

We are seeking a highly organised and detail-oriented Office Administrator to join our team. This role is a key point of contact for customers and plays an important part in coordinating our operations. The ideal candidate will be confident on the phone, capable of handling sales enquiries, and equally skilled at managing delivery schedules and supporting the smooth flow of goods into our warehouse.

Responsibilities

* Answer incoming calls with professionalism, providing excellent customer service
* Prepare and send quotes, follow up with customers, and help secure sales
* Take payments over the phone securely and accurately
* Manage delivery schedules for shipments, ensuring all goods are correctly numbered and organised for the warehouse and delivery teams
* Perform accurate data entry and maintain up-to-date filing systems
* Assist in preparing reports and presentations using Microsoft Office and Google Workspace
* Process invoices and manage accounts using QuickBooks
* Support the administrative team with clerical tasks and ad-hoc duties as needed
* Coordinate meetings, appointments, and travel arrangements for staff
* Maintain office supplies inventory and place orders when necessary

Requirements

* Proven office experience with a strong administrative or clerical background
* Experience in handling customer calls, preparing quotes, and taking payments
* Previous experience in arranging delivery schedules is highly desirable
* Proficient computer skills, including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
* Knowledge of QuickBooks is an advantage
* Excellent organisational skills with the ability to manage multiple tasks simultaneously
* Strong typing skills with accuracy for data entry tasks
* Clear and confident communication skills, both verbal and written
* Team player with a proactive, hands-on approach

Working Hours

* Core days: Monday, Tuesday, and Friday
* Potential to take on additional days as availability allows and as the role develops
