Personal Assistant (Board & Governance) Location: Ascot (office-based with travel to multiple sites) Job Type: Full-time, Permanent Salary: Up to £38,000 benefits About the Role We are seeking an experienced and highly organised Personal Assistant to provide high-level administrative, PA and governance support to senior executives and the Chair of the Board. This is a pivotal role where you will ensure Board and Committee operations run smoothly, efficiently and in full compliance with governance and regulatory standards. The position is primarily based in Ascot, with regular travel to other organisational sites (pool car provided). Occasional evening meeting attendance will be required. Key Responsibilities Board & Governance Support * Coordinate and support Board and Committee meetings, including Health & Safety forums * Prepare and distribute agendas, reports and meeting documentation * Attend meetings and produce accurate, high-quality minutes * Maintain official records of decisions, actions and governance documentation * Provide guidance to managers on governance processes and statutory requirements * Ensure compliance with regulatory frameworks and best practice Personal & Administrative Support * Provide dedicated PA support to the Chair of the Board * Work closely with the Executive PA to deliver seamless senior-level support * Manage correspondence, inboxes and key documentation * Maintain accurate Board records (membership, attendance, declarations of interest) * Support Board recruitment, onboarding and inductions * Handle confidential information in line with data protection standards Communication & Stakeholder Liaison * Act as the primary point of contact for Board members * Liaise professionally with senior leaders, internal teams and external stakeholders * Track and follow up on actions arising from meetings Compliance & Record Keeping * Maintain governance policies, registers and statutory documentation * Ensure records are accurate, secure and accessible * Support compliance with legal and regulatory obligations About You You will be a professional, discreet and highly organised individual with the confidence to work closely with senior stakeholders. Essential Skills & Experience: * Proven experience as a Personal Assistant, Executive Assistant or in a senior administrative role * Strong organisational and time management skills * Excellent diary and calendar management experience * Exceptional written communication and minute-taking ability * High level of accuracy and attention to detail * Ability to manage multiple priorities and meet deadlines * Strong IT skills (Microsoft Office and/or Google Workspace) * Ability to work independently and use initiative * Fast and accurate typing speed (60–80 wpm) Desirable: * Experience supporting Boards, Committees or governance functions * Previous experience as a Board Administrator or Governance Clerk * Knowledge of governance frameworks or regulated environments Interested?
