Vacancy Information

This role is within a unit where Surrey Police and Sussex Police work in collaboration, whilst remaining two separate legal entities/employers with different terms and conditions.

Both Surrey Police staff and Sussex Police staff are employed in this unit on their own force terms and conditions.

Successful candidates may be appointed on the terms and conditions of employment of either Surrey Police or Sussex Police, depending on organisational requirements. A discussion will be held with the successful candidate to confirm the details of location, salary, allowances, and hours.

The starting salary for this role will usually be at the bottom of the salary range and will be pro-rata if the working hours are less than full time.

The Role & Key Responsibilities

This is an exciting opportunity to work within the Chief Officer Team at Sussex Police.

This role is being offered as a 9-12 month secondment for internal applicants.

You will be the Personal Assistant to the Assistant Chief Constable, responsible for the Specialist Crime Command and Public Protection portfolios across Surrey Police & Sussex Police.

Although working directly to the ACC and their Staff Officer, you will work within a team of other PA’s and SO’s who work to support each other.

Key Responsibilities:

* Act as a main point of contact to update and manage the ACC’s diary, ensuring meetings and appointments are appropriately resourced and prioritised, enabling the ACC to make the best use of their time.
* Deal with information and correspondence received by the ACC by email, letter, or telephone, making decisions and using own judgement to action or resolve as necessary. Draft responses for the ACC where appropriate. Also, ensure the ACC is briefed and updated on high-risk or important issues.
* Provide a full range of administrative support, including the electronic taking and preparation of minutes and actions, for the ACC or other meetings. Carry out other tasks as required, ensuring that the meetings function smoothly and effectively.
* Organise events, visits, travel, and accommodation (via Support Services) to ensure that efficient, good value, and cost-effective arrangements are made on behalf of the ACC.
* Plan, prioritise, and organise the ACC’s workload (e.g., dealing with information, emails, communications, correspondence, documents, and reports received) whilst managing own workload.
* Provide secretarial support to the national/regional work undertaken by the ACC.
* Ensure all relevant administrative procedures are as dynamic as possible to reduce unnecessary bureaucracy and costs.
* Deal effectively with all personal visitors and telephone calls, providing high levels of customer service.
* Assist the ACC's Staff Officer to ensure that the ACC is fully prepped for meetings and engagements.
* Undertake other duties appropriate to the grade and character of work as may be reasonably required, including specific duties of a similar or lesser graded post.

Skills & Experience

To be successful in this role, you will work well under pressure and have the ability to multi-task. Working as part of a friendly and supportive team including the ACC, Staff Officer to the ACC, and the wider senior management within SCC and PP, you will be a team player and able to communicate well with a wide range of people at different levels of the organization.

Other essential skills include:

* A good level of IT literacy, including excellent working knowledge of MS Word, MS Excel, MS PowerPoint, and strong MS Outlook experience
* Excellent organisation and attention to detail, as this role involves managing the ACC’s diary and commitments
* Ability to balance conflicting priorities and make decisions accordingly
* Proactive and enthusiastic attitude, with the ability to anticipate the needs of the ACC and act as necessary
* The ability to complete accurate and fast note-taking and typing—completing minutes for meetings.
* Good judgement and discretion in handling confidential and sensitive information, maintaining its integrity is crucial
* Strong working knowledge of M365, such as MS Teams, SharePoint, and One Drive.
