Position
Facilities and Compliance Manager
The Facilities and Compliance Manager will have responsibility for ensuring the company complies with its outside regulatory requirements and internal policies. This includes coordinating the safety, quality and environmental management systems and assisting with cybersecurity and information security reviews and action plans. It will also include responsibility for the day-to-day running of Vulcain’s head office building and all activities that take place within to make sure health & safety standards are met. Ensuring the maintenance of the office equipment, IT, physical space and all systems for the Vulcain head office building. Including responsibility for coordinating outside contractors to resolve issues, including prioritisation of those that ensure health and safety.
Some of the main responsibilities of the Facilities and Compliance Manager will include:
Quality Management
* Maintaining the Company’s ISO accreditations (9001, 14001 and 45001)
* Arranging and hosting internal and external audits on a monthly, quarterly and annual basis
* Maintaining, updating and recording all Quality Processes and the QMS records
* Expanding Vulcain’s ISO accreditation by exploring relevant ISO standards and implementing these
HSE
* Being the primary point of contact for our Health & Safety in the office
* Maintaining and updating company risk assessments – ensuring action taken where gaps are identified
* Ensuring employees are suitably trained and equipped to work safely, including facilitating the reviews of company training and policies on a regular basis
Office Management
* Taking full responsibility for all elements of the Head Office including all activities under the umbrella of: H&S, Quality, Security, Compliance and Environmental
* Ensuring that the office remains a safe, professional and presentable space to work
* Owning the relationship with all service providers and their contracts of service
* Reception duties including dealing with visitors and guests, deliveries, post, stock management etc
* Being the primary point of contact with our building security and maintenance providers
* Owning the procurement process
* Managing the company car fleet
Preferred Profile

* Proven experience of working with ISO 9001
* Essential previous experience of delivering a fast pace, widely varied role to an excellent level of accuracy
* Experience of project management and delivering to deadlines
* Considerable experience of working with key stakeholders across a business who may have different priorities, targets and objectives
* Able to work collaboratively with key stakeholders and drive engagement on key activities
* Proactive in problem solving
* Ability to prioritise and proactively manage own tasks and time
