About The Role
We're looking for a proactive Capacity Planning & Scheduling Lead to join our Administration team. You'll play a key role in shaping and publishing appointment schedules that maximise clinical capacity, support smooth patient pathways, and help us meet vital wait-time targets. This is a dynamic position where your insight into demand, capacity, and service activity will directly enhance the patient experience.
In this role, you'll design and refine booking schedules across specialties, working closely with consultants to confirm availability and secure additional sessions when needed. You'll analyse demand trends, provide wait-time data to stakeholders, and ensure our ERS (electronic referral system) is always up to date and ready for direct booking.

What you'll be doing
Located within our Southampton site, this role will involve the planning and publishing of booking schedules for clinical appointments giving the optimum capacity to achieve and maintain wait times to meet the patient pathway and referral to treatment objectives. This will include the understanding of current and future demands.
You'll monitor consultant leave, support rota planning, manage service publishing on eRS, and help onboard new clinicians. As a key link with external partners, you'll support activity transfers and lead our weekly Clinic Scheduling Group to keep booking, theatre, and operational teams aligned.
What we'll look for in you
You'll bring excellent organisational skills, a keen eye for detail, and the confidence to communicate effectively with clinicians, managers, and external partners. You'll be analytical, proactive in identifying capacity challenges, and committed to maintaining high standards of patient satisfaction. Your ability to plan ahead, manage complex scheduling needs, and collaborate across teams will be essential to your success in this role.
You will have experience leading others, as well as working in the health sector, ideally within a similar setting. It is essential that you have experience of capacity planning or scheduling and be competent using IT applications with a good knowledge of Excel.
