Job Purpose
We are seeking a Quotes & Invoicing Administrator to join our growing Commercial Team. This position plays a vital role in preparing accurate quotations and invoices for engine repair and maintenance projects while coordinating with Customer Services, Technical Planning, Workshop, and Finance teams.
The successful candidate will help ensure work is properly planned, delivered on time, and aligned with customer requirements. This role also supports the company’s commercial strategy through data-driven analysis of margins, performance, and profitability.
Main Responsibilities and Duties
* Prepare customer quotes for requested work using established or contracted pricing in collaboration with the Technical Team
* Create and manage work orders in ProMRO
* Liaise with the Customer Services Team to ensure customer requirements are clearly understood and communicated internally
* Contribute to a best-in-class customer experience as a key member of the Commercial Team
* Monitor and review work orders for accuracy and progress, implementing adjustments when required
* Create accurate and timely invoices for all assigned work orders
* Develop and maintain customer and management reporting tools
* Provide data analysis on sales and profitability to support strategic decision-making
* Collaborate with Technical Teams to align customer requirements with work order content
* Liaise with customers to ensure all paperwork and documentation are complete
* Participate in project implementations and continuous improvement initiatives
* Identify issues, propose corrective actions, and support process improvements
* Maintain professionalism, integrity, and a strong focus on customer satisfaction
* Support senior management as required with additional duties and tasks
Skills & Experience
Essential:
* Excellent organisational and time-management skills with the ability to prioritise under pressure
* Strong written and verbal communication skills
* Proficient computer skills, including Microsoft Office (Intermediate to Advanced Excel required)
* Analytical mindset with strong research and problem-solving abilities
* High attention to detail and accuracy
* Positive attitude, self-motivated, and eager to learn
Desirable:
* Interest, qualification, or prior experience in aviation or engineering
* Experience working in a commercial or technical administrative role
