POSITION Nardello & Co. is a global investigative firm specializing in due diligence, litigation support and internal investigations is seeking a Senior Operations Assistant. Reporting to the Chief of Staff (COS), the successful candidate will be independent, highly organized, and creative thinker who excels at problem-solving. They will be a self-starter with excellent organizational and communication skills, who is eager to be part of a small team of hard-working individuals vital to the success of the firm. This role forms part of the operational backbone of the firm’s EMEA region’s activities and is essential to the smooth running of our London office, supporting a wide range of operational, administrative, and business support functions for the region. We require someone who not only ensures that everything runs smoothly but does so with care, calm and a collaborative spirit. It is a role best suited to someone who enjoys being helpful, takes pride in the small details, and thrives on being one step ahead of what’s needed. KEY RESPONSIBILITIES Office & Facilities Management Troubleshoot issues with phones, computers, copiers and other office equipment including interacting with repair vendors. Acting as the liaison for all facilities-related matters, including managing cleaners and coordinating ad hoc maintenance (e.g. plumbers, handymen). Assist with security, responding to the alarm during regular working hours and after hours. Ensure the London office is well-maintained, orderly, and fully equipped for day-to-day operations, as well as providing our other EMEA locations with operational support and assisting with ad-hoc duties as required. Monitor and replenish kitchen and office supplies, placing regular and one-off orders as needed. Manage meeting rooms – scheduling, room set up for external meetings, ensuring readiness and troubleshooting AV or room issues. Place ad hoc purchases, liaise with external vendors, and ensure cost-conscious, reliable procurement. Workplace & People Support Serve as the first point of contact for guests and ensure a professional, warm welcome to the office. Organise and arrange team lunches, gifts, and other office-wide touchpoints for birthdays, milestones, and team celebrations. Facilitate the onboarding process for new joiners: desk setup, IT coordination, equipment orders, building access (fobs) and office tour for H&S. Working closely with the COS to organise annual maintenance of office equipment to ensure office ensure H&S standards and practices, including emergency protocols and access control are upheld. Support the COS with projects, including ad hoc duties (HR, Finance etc.). Practice & Admin Support Support COS with ad-hoc duties (office, building management, onboarding etc.). Input and submit weekly timesheets and expenses for all Managing Directors with a high level of accuracy and confidentiality. Provide light administrative support to other team members as needed (IManage support, meeting preparation, or document formatting, etc.). Assist with domestic and international travel bookings and related logistics. Answer phones, route calls and take messages. Additional administrative support for senior staff, in addition to timesheets, expenses, and travel may include: Calendar management. Creating and formatting documents. Client relationship management. Client relationship tracking and reporting; experience with Salesforce preferred. Information gathering & collating. Conflict checks and sanctions checks. Travel & Expense reporting. Business Development & Marketing Support Assist the team to ensure business development activities are logged in SalesForce. Help with ordering event and conference materials, as needed - (e.g. sending documents to print) Support with Nardello & Co. culture events and occasional internal event coordination (e.g. finding venues and booking reservations). Help liaise with third parties to schedule group meetings where needed. Flexibility & Cross-Team Support Offer support across practice groups or other business areas as needed, particularly during busy periods or absence cover. Remain responsive and flexible to evolving business needs and operational priorities. Work Environment Details The position operates in a professional environment. In-office role work week. Some overtime may be required. Some lifting of boxes (up to 10kg) is required. Minimum Requirement 4 years in an office setting, Professional Services a plus. Highly effective time management skills and the ability to prioritize work. Excellent attention to detail, Excellent problem-solving skills. Strong organizational skills with the ability to manage multiple priorities. The ability to work with all levels of the organization within a fast-paced and ever-changing environment. Enthusiastic individual with "can do" mentality and self-starter attitude Excellent written and verbal communication. Ability to deliver error-free execution of tasks in a timely and efficient manner. Polished and professional demeanour in person and on the phone. Proficiency in Microsoft Office tools (Outlook, Word, Excel, and PowerPoint), experience with SalesForce or another CRM a plus.
