Job Title Crewing Coordinator DEPARTMENT: Crewing DIVISION: Crewing Services LOCATION: Prime View, Kingswells HOURS: 37.5 Main Purpose Of Job To co-ordinate and administrate all logistical aspects related to the manning of the fleet. Reporting Relationship Reporting to the Crewing Manager. Key Work Areas Ø Ensure Crewing Requirements of the fleet are met, in accordance with safe manning, industry and statutory requirements. Ø Ensure gaps in crews are filled by coordinating crew from elsewhere in the fleet, and where necessary communicate recruitment requirements. Ø Arrange crew changes in line with operational requirements – providing joining instructions to all crew and arranging accommodation/travel where necessary. Ø Act as a point of contact for any crew enquiries. Ø Process crew movements in crew management software Ø Process payroll changes i.e., promotions and additional payments etc. Ø Assist recruitment personnel with new hire on boarding, including employee file set up, inductions, mobilization, and training requirements. Ø Liaise with Training Co-Ordinator on further training and promotion in regard to higher ranks. Ø Data inputting to various systems for recording of absences, certification, and training. Ø Taking part in ‘On Call’ duty Ø General office duties; filing, scanning, answering telephones. Ø Departmental Holiday cover & assist within the department when required. Ø Any other projects or tasks as delegated by management. Communications Daily communication with the crewing team, staff across all departments, and crew members. Qualifications/Training Ø General administrative experience Ø Computer literate – Crew Management Software and Microsoft packages i.e. word, excel, outlook Ø Knowledge of crewing regulations including flag state requirements, STCW and MLC2006 Personal Qualities/Characteristics Ø Ability to work on own initiative and multitask. Ø Professional approach to work Ø Excellent verbal and written communication skills Ø Flexibility in working arrangements.
