Vacancy: Finance Assistant (Payables) Closing date: Thursday 30 April Shortlisting: Friday 1 May Proposed Interview date: Thursday 7 May Salary: £28,540.27 About the vacancy: We're looking for a detail‑focused Finance Assistant to support our Payables function, ensuring supplier invoices and payments are processed accurately and on time. In this role you'll maintain the purchase ledger, resolve supplier queries, carry out reconciliations, and support payment runs, while working closely with colleagues across Finance and the wider organisation. This is a great opportunity for someone with experience in finance or administration who is organised, reliable, and keen to develop their career in finance within a supportive team. Specifically, in the role you will: Ensure value for money is achieved and deliver services that meet the needs of our residents and communities Process transactional operations on the finance system as required. Invoices to purchase orders and delivery notes, promptly identifying and escalating any discrepancies for resolution. Ensure all transactions are processed and authorised in accordance with Hedyn's financial policies & relevant external regulations prior to payment, ensuring correct coding and appropriate VAT treatment. Conduct regular reconciliations between supplier statements and the purchase ledger to maintain financial accuracy. Investigate and resolve outstanding items or discrepancies with suppliers in a timely and professional manner. Maintain accurate and current supplier records in line with data governance standards. Prepare and execute weekly and monthly payment runs via BACS, CHAPS, or cheque, ensuring adherence to payment terms and organisational cash flow requirements. Maintain comprehensive records of payments, ensuring complete and auditable documentation. Support internal and external audit processes by providing requested documentation and clear, timely explanations. Liaise effectively with internal departments to resolve queries and facilitate timely approvals. Responsible for undertaking credit rating reporting for procurement processes, risk management and on new suppliers, maintaining records on the payables system. Responsible for carrying out checks in relation invoices to ensure that payment is required. Where appropriate liaise with these suppliers to resolve any queries (this could include utility and council tax). Respond to supplier enquiries in a prompt, courteous, and professional manner. Accurately post and monitor petty cash transactions. Collaborate across the Finance function to deliver a cohesive and high-quality service to colleagues throughout Hedyn. Provide ad hoc support to the Head of Finance Operations and other senior finance leaders, contributing to the achievement of organisational objectives and adapting to evolving priorities. Provide cover for colleagues within the Finance Operations team and the wider Finance function during periods of absence. Assist in the operational management of the payables service and strive to deliver continuous improvement. Support the development and delivery of the departmental plan within the directorate. Undertake any other duties as required to support the changing needs of the organisation Promote equality and diversity in all activities.
