Salary: £32-35,000 (pro rata)

Role Purpose
The People Coordinator provides essential administrative support across the employee lifecycle, ensuring smooth, accurate and compliant processes from recruitment through to offboarding. This role is key to maintaining high-quality employee data, timely onboarding, and consistent people operations that support the wider organisation.
Key Responsibilities
1. Recruitment Administration
2. Activate recruitment adverts on appropriate job boards and channels in line with business monthly rhythm, new openings and as requested.
3. Conduct initial candidate screening calls following agreed criteria.
4. Coordinate interview scheduling and communicate with candidates at each stage.
5. Maintain accurate applicant tracking records.
6. Review application and recruitment activity insight to inform continued improvement for future business need.
7. Pre-Employment Compliance & Onboarding
8. Conduct Right to Work (RTW) checks in line with UK Home Office guidance.
9. Process DBS/PVG checks and train managers in systems to ensure maintenance of renewal records.
10. Implement the business onboarding process for new starters including issue and validation of onboarding documentation digitally through the applicant tracking systems and migrate into people systems on successful completion.
11. Payroll Administration
12. Prepare and process monthly payroll changes, such as new starters, leavers, pay adjustments, absences and allowances using the business digital payroll systems.
13. Ensure payroll data is accurate, complete and submitted within required deadlines.
14. Respond to payroll-related employee queries.
15. Work closely with finance to ensure accurate payments, mitigation of errors and timely completion.
16. Training Administration
17. Process course registrations for the Learning and Development Team.
18. Manage the digital administration of course bookings including issue of welcome and confirmation emails and eLearning access.
19. Claim certificates and upload them to employee training records.
20. Support the Learning and Development team with Approved Training Centre (ATC) policy updates and governance administration.
21. Offboarding
22. Process resignations and issue leaver documentation.
23. Remove system access and notify relevant departments.
24. Coordinate return of equipment/kit and final pay details.
25. General HR Support
26. Support regular audits of HR records and compliance documentation.
27. Produce basic HR reports (e.g., starters/leavers, training, compliance checks).
28. Support the Regional Managers with any day-to-day employee enquiries in a professional and timely manner.
29. Support People projects and continuous improvement of HR processes.
30. Assist with People templates, policy updates and documentation when required.
Skills & Experience
31. Experience in HR or administrative roles.
32. Strong organisational skills and attention to detail.
33. Confident using human resources, recruitment and payroll systems.
34. Ability to handle confidential information with professionalism.
35. Experience in payroll administration would be very beneficial,
36. Knowledge of people compliance requirements.
37. Experience working in a fast-paced or multi-site environment.
38. CIPD Level 3 (or working towards).
