Timetabling Advisor role at University of Glasgow. This is a full-time, fixed-term position.

Job Purpose

The Timetabling Advisor is a key role within the Space Management and Timetabling Team. The postholder will contribute to delivering an efficient timetable for a designated College, aligning with the University's objective of optimising space usage across the teaching estate. This includes collaborating with College staff during data gathering and input to inform scheduling and space allocation for the annual teaching timetable.

The postholder will work with stakeholders to resolve issues impacting the timetable, delivering positive outcomes for students and improving University/service metrics. They will contribute to service enhancement through business process and system improvements and support non-teaching event scheduling within the College and related activities as part of the team’s specialist area.


Main Duties And Responsibilities

* Develop and maintain understanding of timetabling requirements for the designated College as part of the annual planning cycle; identify risks and mitigations from material changes.
* Develop strong relationships with College staff, providing guidance and support through the annual timetabling process.
* Work with data, student forecasts, and performance metrics to optimize scheduling and rooming; address data gaps to improve data quality for future timetabling cycles.
* Process ongoing timetabling and scheduling activity, including change requests and ad hoc bookings.
* Collaborate with team and stakeholders to resolve timetable production issues and query resolution.
* Explore options to improve space utilisation and implement changes with College stakeholders.
* Support a harmonised, integrated service to promote consistency and good practice.
* Schedule non-teaching events within policy and contribute to relevant team processes.
* Provide a versatile team contribution to service delivery across the wider timetabling team.
* Maintain professional CPD through participation in process and system user groups/networks both internal and external to the University.


Knowledge / Qualifications

* Essential: A1 or equivalent level of knowledge and skills for the post; SCQF level 7 or equivalent; experience in a similar role; broad knowledge of HE administration processes; knowledge of systems that deliver services at scale; proficient with Microsoft Office; understanding of the University's Vision, Values, priorities, and objectives.
* Desirable: Understanding of timetabling for teaching and use of timetabling/room booking systems.


Skills

* Essential: Excellent organisational skills; ability to prioritise under deadlines; proactive problem-solving with limited supervision; high attention to detail; strong communication and interpersonal skills; influencing and negotiation abilities; teamworking and service delivery mindset; capacity to identify and implement process improvements; commitment to personal development and adaptability; understanding and applying policies and SOPs.
* Desirable: Continuous improvement experience or similar methodology across complex processes.


Experience

* Essential: Significant relevant administrative experience in large organisations; customer-focused service delivery; process/service liaison experience; data analysis to inform reviews and improvements; experience delivering process improvements or change initiatives in administration.
* Desirable: Experience using corporate IT systems.


Terms and Conditions

Salary: Grade 5, £27,319 – £31,236 per annum. This is a full-time (35 hours per week), Monday to Friday, fixed-term position to December 2028.
