We are looking for an experienced Operations Assistant to join our existing team. The role is varied; our current team is highly skilled, and due to internal promotion, we are recruiting for this position. You will help with the workload across our 6-member practices. This role suits someone with administrative experience, ideally in general practice. It offers a great opportunity to develop further and learn new skills in a fast-paced environment. Main duties of the job
1. Overall management of the clinical rota on our integrated SystmOne module, including creation and amendments of rotas.
2. Provide day-to-day operational support to PCN staff and manage practical issues across the PCN.
3. Create agendas and document bundles for meetings, e.g., 6-weekly leadership meetings and members' board meetings.
4. Take clear and well-presented minutes from the members' board.
5. Set up meetings for staff across the PCN, particularly the leadership team.
6. Organize each staff member's annual appraisal.
7. Assist the Operational Team Lead with TeamNet, the annual leave system.
8. Arrange interviews for shortlisted candidates, prepare interview packs for the panel, and invite candidates.
9. Liaise with successful candidates to complete onboarding checks (DBS & references).
10. Create and distribute the WLPCN newsletter.
11. Ensure all PCN documents are kept up-to-date with relevant information.
12. Set up target afternoons, create agendas, book venues, and keep staff informed.
13. Manage and order supplies for the PCN, e.g., office supplies and scrubs.
