Due to continued expansion, we are now seeking a Delegate Experience Lead to join our team. This role is pivotal in ensuring every delegate’s journey from registration to attendance is seamless, professional, and world‑class. Reporting directly to the Head of Marketing & Execution.
Key Responsibilities
* Review all incoming delegate registrations to confirm alignment with qualification criteria for each Xseries and Xperiential event.
* Process and assign confirmed delegates in HubSpot, ensuring accurate records and correct linkage to internal stakeholders.
* Manage bookings driven by the marketing team, ensuring timelines, expectations, and handovers are consistently followed.
* Act as the primary point of contact for delegates in the lead‑up to each event via phone and email to answer questions, confirm attendance, and ensure an exceptional pre‑event experience.
* Forecast delegate attendance per event and deliver clear, consistent updates to internal teams to support capacity planning and on‑site expectations.
* Ensure all delegate data is accurately managed, reported, and accessible across Sales, Marketing, and Events teams.
* Support internal teams in delivering seamless experiences, with a strong understanding of how each confirmed delegate fits into the broader event strategy.

Personal Specification
* Experience in a customer‑facing role, with strong verbal and written communication skills.
* Exceptional attention to detail and the ability to manage multiple moving parts simultaneously.
* Confidence using CRM systems; HubSpot experience is ideal but not essential.
* A clear, confident communicator who is comfortable speaking with senior executives and internal stakeholders alike.
* A strong sense of accountability and ability to meet deadlines under pressure.
* A solutions‑first mindset with a passion for delivering exceptional delegate experiences.
* Flexibility required for certain projects operating in US time zones, depending on event schedules.
