Administrator
Overview
We are seeking a highly organised and customer-focused Administrator to support our internal sales function. This role plays a key part in maintaining strong customer relationships, ensuring accurate order processing, and supporting the smooth day-to-day running of sales operations.
Key Responsibilities
Account Management
1. Act as the primary administrative point of contact for assigned customer accounts
2. Build and maintain strong client relationships through excellent customer service
3. Support onboarding of new customers, including account setup and documentation
4. Respond to customer enquiries relating to orders, pricing, lead times, and delivery schedules
5. Assist in resolving customer queries by coordinating with internal departments such as Sales, Operations, Finance, and Logistics
Sales Support & Coordination
6. Prepare accurate quotations, proposals, and sales contracts
7. Process customer orders and ensure timely and accurate entry into the ERP system
8. Monitor order progress and provide proactive updates to customers
9. Produce and support sales reports, forecasts, and KPI tracking
10. Provide administrative support to the sales team, including meeting preparation, presentations, and follow-ups
Administrative & Operational Duties
11. Maintain accurate customer records, pricing, and contract information
12. Support invoicing processes, credit checks, and payment follow-ups in collaboration with Finance
13. Ensure ERP system data is consistently up to date
14. Assist with organising customer visits, meetings, and trade events
Process Improvement
15. Contribute to continuous improvement of customer service and sales administration processes
Skills & Experience
Essential
16. Previous experience in sales administration, account management, or a similar role
17. Strong communication and interpersonal skills
18. Excellent organisational and multitasking abilities
19. High attention to detail and accuracy
20. Proficiency in Microsoft Office (Excel, Word, Outlook) and ERP/MRP systems
21. Ability to work independently and as part of a team
Desirable
22. Experience in a fast-paced commercial or sales environment
23. Familiarity with sales reporting tools and data analysis
