We are seeking a high-energy, collaborative Events Coordinator who sees the "big picture" and leads events where our community connects. As a key member of the Creative Services team, you will act as a bridge between our campus and the wider community, ensuring that every event we host is an invitation to belong and succeed at Brightpoint.

Duties will include but are not limited to:
Signature Event Leadership
12. Coordinate, in conjunction with area leads from other departments, the college’s high-impact signature events (e.g., Commencement, Founders Day and Veterans Day).
13. Collaborate across departments to ensure every signature event aligns with our vision of "a success story for every student" and supports the college’s brand.
Campus Resource Coordination
14. Serve as the primary consultant for internal departments hosting smaller meetings and events, providing guidance on best practices, floor plans, available supports and college policies.
15. Streamline internal workflows to ensure campus spaces are utilized efficiently and support teams (Facilities, IT, Security and Marketing) are synchronized.
Community Rental Management
16. Act as the point of entry for external community members and organizations looking to host events at the college.
17. Manage the full rental lifecycle, from initial inquiry to contract execution and post-event billing.
Systems Administration
18. Serve as the lead administrator for the college’s Ad Astra eventmanagement and room reservation tool, training and supporting campus users while ensuring data integrity and optimizing space utilization.
19. Establish and update effective policies, procedures, strategies and training for college-wide event scheduling and management.
20. Respond to all internal and external inquiries about use of college facilities for meetings, events and rentals, to include confirming availability, alternative solutions for room conflicts, approvals, etc.
21. Coordinate with Facilities, Housekeeping, IT and other departments to assess and continuously improve systems, processes, and technology and to ensure necessary resources are in place for events.
Minimum Qualifications:
Required:
22. Proven experience in event/conference management, preferably in a collegiate setting
23. Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.
24. Excellent communication and interpersonal skills.
25. Familiarization with ADA, fire code, and egress requirements.
26. Experience in a high-profile, fast-paced work environment.
27. Successful completion and passing of a criminal background check will be required.
Additional Considerations:
Bachelor’s degree in events management, business administration or related field.Certified Meeting Professional (CMP) certification.Experience working in a collegiate setting and with events management/room reservation software.
