Role Overview
We are seeking a friendly, professional, and organised individual to join our team as Administration & Reception Staff. You will be the first point of contact for patients and visitors, ensuring a welcoming and supportive atmosphere within our osteopathy and Pilates clinic. This role combines reception duties with administrative support to ensure the smooth day-to-day running of the clinic.
Key ResponsibilitiesReception & Client Care
* Greet patients and visitors in a professional, friendly, and approachable manner.
* Answer phone calls, respond to emails, and manage online enquiries promptly.
* Handle sensitive enquiries with empathy and professionalism, including those related to our specialist men's pelvic health clinic.
* Schedule and manage appointments using the clinic booking system.
* Take payments, process invoices, and manage receipts.
* Provide information to patients about services, practitioners, and classes.
* Ensure the reception and waiting areas are tidy, welcoming, and well-stocked.
Administrative Duties
* Maintain accurate patient records and ensure confidentiality (GDPR compliance).
* Support clinicians and Pilates instructors with scheduling and class administration.
* Assist with clinic correspondence, including reminders, newsletters, and notices.
* Prepare and update daily/weekly schedules for practitioners and classes.
* Order and manage stock of office/clinic supplies.
* Assist with basic bookkeeping and reporting as required.
Team Support
* Liaise with osteopaths, physiotherapists, Pilates instructors, and other practitioners to support clinic operations.
* Support the organisation of workshops, events, and promotions.
* Provide administrative support to management for projects and service development.
Skills & Qualities Required
* Excellent communication and interpersonal skills.
* Strong organisational skills with attention to detail.
* Confident with computers, scheduling systems, and Microsoft Office/Google Workspace.
* Ability to multitask and prioritise in a busy environment.
* Professional, reliable, and approachable manner.
* A team player with a proactive attitude.
* Experience in a healthcare, wellness, or customer service setting (desirable).

Pay: From £12.21 per hour
