Role Title: Finance Officer Reporting To: Finance Manager Grade: EVH Grade 7 Job Purpose: To work with the Finance Manager and the Head of Finance to achieve the Association’s key strategic objectives in relation to finance. To assist with the delivery of the Association’s key financial processes ensuring carried out in an efficient and timely manner. To assist the Finance team in the provision of a high quality and responsive finance service. To deliver high levels of performance and continuous improvement to agreed performance targets. The following list is typical of the level of duties which the post holder is expected to perform or be responsible for. It is not necessarily exhaustive and other duties of a similar type and level may be expected from time to time. The post holder will be responsible for a combination of the objectives described below dependent upon the requirements of the organisation. There are two Finance Officer roles in the team, with the tasks shared and rotated over the two roles. Core Finance Responsibilities · To maintain financial records, cashbooks and journals as required · To complete monthly bank reconciliations for all accounts · To process information and data to the nominal ledger · To complete and post the prepayment schedule monthly · To prepare and post monthly creditors journals and reconciliations · To complete and post the bad debt provision for Owners and Tenants · To assist with the preparation of management and annual accounts · To assist with the preparation of the annual budget · To provide analysis and other financial projections as required · To prepare monthly nominal and control account reconciliations and analysis schedules for income and expenditure accounts · To contribute to the maintenance of good financial practice and compliance with financial regulations and the Association Standing Orders. · To assist with VAT return preparation and submission · To maintain the sales ledger and carry out debt recovery · To maintain community benefits database Salaries · To prepare monthly salaries with analysis · Reconciliation of salary control accounts · Maintain all records in relation to PAYE, NI, SSP, SMP · Administration for the Association’s pensions Budget monitoring and accounts production · To prepare and monitor key budget analysis schedules · To provide advice and guidance to budget holders · To hold monthly review meetings with individual budget holders · To provide narrative for monthly report to senior management · To support production of the monthly management accounts pack · To support the production of the Financial Statements · To provide analysis and supporting documentation for the Financial Statements at year end · To support the audit process during the financial year. Other Duties · To assist with the completion of statistical information and survey forms to external agencies as required. · To support the Finance Assistant and Finance Administrator within the department · To support colleagues with queries on salaries and pensions · To support the maintenance of finance data in our network drives and housing management system · General support on the Team Delivery Plan and key projects within the year Corporate Responsibility · Act as a role model within the Finance team ensuring that our operating principles and values are lived on a day to day basis · Ensure compliance with all regulatory, statutory and legal requirements and other directives · Comply with Maryhill Housing’s policies including our code of conduct, health and safety, anti-fraud and bribery, and equalities, diversity and inclusion policies · Ensure effective communication in plain language, both internally and externally, to ensure people are informed, engaged and find it easy to access our services and contact us and understand our information and the decisions we make · Maximise the use of ICT to improve efficiency, increase productivity and develop new and existing services · Produce accurate and timely performance information and data, including information required for regulatory and statutory returns and implementing actions arising from internal and external audits as directed
