Working Full time: 37.5 hours per week
To provide high quality, efficient and comprehensive Personal Assistant / secretarial support to the Chief People Officer, Chief Digital and Data Officer and Director of Strategy within the Trust Headquarters. To undertake a full range of responsibilities associated with the post using discretion, initiative and maintaining confidentiality.
Main duties of the job
1.Provide a full personal assistant and secretarial service to the designated Executive Directors
2.Provide comprehensive administrative support for meetings, including the preparation of draft agendas, collation and distribution of papers, ensuring deadlines are met. Attend meetings as required, prepare accurate minutes and action logs, follow up agreed actions, and ensure reports are produced as appropriate.
3.Receive, respond to and distribute correspondence on behalf of, or as directed by, the designated Executive Directors
4.Provide administrative support for ad hoc projects as required by the Executive Directors
5.Deal with telephone enquiries appropriately and provide advice and information to the designated Executive Directors as required.
6.Act as the first point of contact for the designated Executive Directors, managing all contacts sensitively, professionally and confidentially.
