Your Role:
We are seeking a highly skilled and proactive Executive Assistant to support senior leadership in a fast-paced, sales environment. The ideal candidate will have proven experience in an executive support role, with the ability to handle sensitive and confidential information with the utmost discretion. This role requires exceptional organisational skills, adaptability, and a forward-thinking approach to anticipate needs and streamline operations. This role is part time and will have shared responsibility with 2 other assistants. It would require working as a team to ensure seamless coverage of the sales leaders. The core days will be Wednesday, Thursday & Friday.
What we are looking for:
Provide administrative and PA support for the UK Distribution leadership team including: management of emails, diary management, meeting arrangements, travel (organising and booking), expenses, purchase orders, internal team events and activities in a timely manner
Help manage and maintain Salesforce records including company and contact details, mailing lists etc.
Co-ordinate client visits for sales teams by organising meetings, tickets and information packs including travel itinerary, company information, maps etc. and ensuring company visit spread sheet is kept up-to-date
Assist with organising UK events - working with the Events Team to produce invitations, managing guests lists, coordinating invitations and follow-ups and attending events as required
Project manage corporate entertainment throughout the year from inception to completion and maintain all records including costs, attendance, invitees etc., acting as the Institutional interface with attendees
Manage and submit expenses in a timely manner
What you can bring:
Proven experience of providing EA support, ideally in a financial institution
Experience booking travel, managing expenses (Concur knowledge ideal but not essential)
Attention to detail and proven track record of managing multiple stakeholders
Thrives in a high paced and pressurized environment
Ability to work independently and take initiative and be proactive
Flexibility to work and ensuring adequate coverage at all times
Ability to be diplomatic and discreet
