Membership Support Executive

* UHY International is a not-for-profit international network founded in 1986 and counts as its members over 350 independent accounting and consultancy business centres based in over 100 countries and employing over 10,000 staff. All member firms are managerially and financially independent of each other; governed by an eleven-member Board of Directors, the network’s administrative headquarters is located in London, UK.


Role overview


This administrative role reports to, and works alongside the Operations and Administration Manager in the executive office to provide support for executive office staff and membership in the network.


This support role has responsibilities in the following broadly defined areas:


* Providing administrative support to the Operations and Administration Manager
* Providing administrative support to working and special interest groups
* Assisting in the administration of membership activities in conjunction with other executive staff
* Assisting in the management of UHY’s intranet and website.
* Undertake adhoc administrative duties as required.
* Providing activity reports for review by other executive office staff and Board directors


Job description


* Provides support to the Operations and Administration Manager, Chief Executive Office, and other executive office staff as and when required
* Acts as staff support to assigned working groups or special interest groups, including, but not limited to: collaborating with appointed chairs on the organisation of tasks and assignments; planning and participating, when possible, in meetings (including the timely preparation and distribution of appropriate materials); preparing and distributing meeting minutes or notes; preparing and distributing reports and materials; conducting task-related research, analysing findings and developing recommendations for group consideration.
* Organises and manages the tasks associated with the administration of UHY membership, including, but not limited to: gathering and/or maintaining accurate records of members; monitoring member compliance with established UHY standards; developing, distributing and tabulating surveys, preparing analyses and recommendations based on results; responding to member communications in a timely fashion.
* Supports marketing and communications efforts, including, but not limited to: formatting, proof-reading or otherwise preparing publications for distribution.
* As and when required to update and maintain the UHY intranet in conjunction with other executive office staff.
* Participates in regular staff meetings; contributes to in-office communications, taking an active role in the development of working methods and processes that enhance the overall running of the UHY executive office; maintains databases, spreadsheets or other means of data tracking; proof-reads publications and materials; performs photocopying, filing and other functions as may be considered necessary.
* Completes other duties that may be assigned from time to time that are considered necessary to meet the objectives of the network.
* Assist, as directed by line manager, with the preparation of materials for membership conferences


Working arrangements


* Hours: This is a full-time role; standard office hours are 09:30 to 17:30 hours each weekday, with one hour, unpaid, for lunch. Little to no travel is expected for this position. Success will be measured in terms of productivity and effectiveness.
* Compensation: Negotiable based on demonstrable ability and experience.
* Location: Your principle work base is our London Office.
* Probationary period: The person assuming this position will be subject to a probationary period of three months and will undergo a performance evaluation at the end of this period. Upon successful completion of the probationary period, notice period for job termination is two months and job performance

Person specifications – Desirable experience and skills


* Three years experience working in administrative positions preferred. Working knowledge of network or in a professional services environment an advantage
* Maintain a professional, service-oriented attitude with leadership, volunteers, staff and key vendors
* Ability to relate to a geographically dispersed, multicultural membership with limited face-to-face contact.

* High motivation, conscientiousness, organising abilities, attention to detail, ability to handle multiple tasks simultaneously and employ personal initiative while working independently
* Good writing skills; articulate, with an ability to project a tactful professional image
* Participate as a cooperative team player-member of the association and possess a team oriented philosophy
* Proficiency with common office technologies (i.e., Windows 7, MS-Office Suite products: Access,
* Excel, PowerPoint, Word, etc.). Website content management system (CMS) is WordPress.
